PatientNow conversion tracking: see which ads book consults, not just form fills
Your Google and Meta ads send people into a PatientNow booking iframe or Lead Form, and after that the ad platforms go quiet. PatientNow knows who booked a Botox consult or a laser package, but its public docs offer only a Google Analytics ID on the booking page, with no Meta Pixel or Google Ads setting. We save the click on your own site, match it to the client record PatientNow creates, and send attended consults back to the ads without treatment names.

PatientNow · what breaks
What goes wrong when PatientNow sits behind your ads
- 01
Google Ads says leads, PatientNow says nobody booked
The booking widget is an iframe pasted into your site, so the ad platform sees a page view and loses the patient once they pick a time. If that page view is your conversion, Smart Bidding chases browsers, and you keep paying for clicks that never reach the injector's chair.
- 02
Lead Form fills count the same as booked consults
PatientNow's Lead Form turns every inquiry into a client and drops it into a Concierge pathway by area of interest. If the form submit is your conversion, Meta learns to find people who type their name, not people who show up for a laser hair removal consult, and your cost per kept consult climbs while lead counts look great.
- 03
No idea which campaign brought in a surgery patient
PatientNow's Lead Source list records how a client heard about you from options your team sets up, and the Web Form Submission report shows contact details, demographics and service interests but no campaign or UTM field. You can't say whether last month's surgery consults came from Google, Meta or a referral, so budget moves are guesses.
- 04
Reserve with Google and phone bookings never reach the ads
Bookings made from your Google Business Profile through Reserve with Google, and phone bookings your staff take from Comms Hub calls, land on the calendar with no click attached. The campaigns driving them get no credit and can look like your worst.
PatientNow · the fix
What changes after we fix it — PatientNow
Bidding learns from consults that happened
Google and Meta receive an attended-consult event from your PatientNow records, so dermatology and med spa campaigns bid toward patients who walk in, not toward window shoppers.
Every booking tied to the ad that started it
The gclid, gbraid or fbclid is saved the moment a visitor lands and joined to the PatientNow client record, so you can see which campaign filled the injector's schedule and which only filled the inbox.
Patient privacy kept out of the ad platforms
Events reach Google and Meta as neutral steps such as consult booked, with no procedure, area of interest or chart data attached.

What PatientNow actually lets you hook into
These come from the public PatientNow Essentials and EnvisionNow help center. PatientNow Pro isn't covered there, so on Pro we confirm each item inside your account.
- 1
Online Booking iFrame and customer portal URL
Under Company Settings, Online Booking, Integration Options, there's an iframe you can place anywhere on your site, plus a portal link you can send patients.
- 2
Google Analytics ID field
Accepts a GA4 G- ID and reports activity on the Online Booking page itself. No Meta Pixel, Google Tag Manager or Google Ads conversion field is documented.
- 3
Concierge Lead Form iframe
Creates a client record and assigns Concierge pathways by area of interest. The docs show an on-form confirmation but no thank-you page redirect or hidden UTM fields, so we confirm what your version allows.
- 4
REST API
Documented as reading and writing customers, appointments, services and treatments, with API keys from the Envision developer portal. Webhooks aren't mentioned, so we poll on a schedule.
- 5
Reserve with Google, Comms Hub and Recura AI
Bookings can come from your Google listing, from staff on a Comms Hub call, or from Recura AI, which books straight into the PatientNow calendar. None documents passing an ad click, so these are matched by contact details.

Where PatientNow tracking breaks, in the order we check
We start at the calendar and work back to the ad, because PatientNow's records are the one number everybody trusts.
- 01
Book a test consult from a tagged ad
Then open the client record and see whether anything about the click survived. On a stock install, nothing does.
- 02
Check what the Google Analytics ID is actually reporting
Page activity on the booking page is not a completed booking, and a GA ID on the iframe page can split sessions away from your main site.
- 03
Find out what counts as a conversion in Google Ads and Meta
Often it's a page view or the Lead Form submit, which rewards inquiries that never reach Concierge follow-up.
- 04
Compare lead sources with ad clicks
If the lead source on new clients is a broad option picked at the front desk, paid and organic patients blur together.
- 05
Count bookings that bypass your site
Reserve with Google, phone and Recura AI chat bookings that the ad platforms never see.

Source of truth
PatientNow client and appointment records: new clients by date, consults kept, and sales by visit
- A test booking from a Google ad and one from a Meta ad, each with the click ID matched to the PatientNow client record.
- One Lead Form submission traced from your page to the Concierge pathway it landed in.
- Exactly one attended-consult event per visit in Google Ads and Events Manager, deduplicated on a shared event ID.
- No procedure names, areas of interest or chart fields in any payload sent to an ad platform.
- A cancelled consult handled correctly and a rescheduled one left counted once.
- Attended consults reconciled visit by visit against each platform for a closed month, then again 30 days later.

PatientNow · when not to buy
When you don't need this on PatientNow
Some PatientNow practices are better off spending the money on ads or staff.
- If nearly all new patients come from referrals, existing clients and walk-ins, and you don't run paid ads, PatientNow's own reports are enough.
- If you only run a small Google Business Profile budget and most bookings come through Reserve with Google, there's little click data to recover.
- If your front desk already records a reliable lead source on every new client and you spend on one channel, a monthly comparison may answer your question.
- If the only problem is the Google Analytics ID on your PatientNow booking page splitting sessions from your main site, we'll show you how to fix that yourself.
PatientNow · what we deliver
The event map on PatientNow
Booking iframe or Lead Form viewed
Fired on your own page with the click ID saved first-party, before PatientNow's frame takes over.
Lead Form submitted
A lead signal only, matched to the new client record PatientNow creates. Never the main bidding goal.
Consult booked online
From the booking iframe or customer portal, with the deposit or card-on-file step recorded when your settings require one.
Consult attended
The primary conversion, read from the appointment's status in PatientNow and sent server-side to Google Ads and Meta.
Treatment or package purchased
Value pulled from the visit's sale or treatment record where your PatientNow API access exposes it, sent as a number with no treatment name, so plastic surgery and vein clinic ROAS reflects real revenue.
Excluded on purpose
Existing patients rebooking, prepaid package redemptions, staff-entered test clients, and no-shows. A cancelled consult is retracted in Google Ads with a conversion adjustment; Meta has no retraction, so it only receives kept visits.
Written guarantee
95%+ tracking accuracy
Measured against PatientNow client and appointment records: new clients by date, consults kept, and sales by visit. Miss it and we keep working at no cost.

FAQ
PatientNow questions, answered
Not in its public documentation. The Essentials help center documents a Google Analytics ID field for the Online Booking page and nothing for Google Ads, Meta Pixel or Google Tag Manager, so conversion tracking has to be built around it.
Not reliably from the browser, because the booking happens inside a frame PatientNow controls. We save the ad click on your own page first, then match the booking from PatientNow's records and send it server-side.
We don't send treatments, areas of interest or anything from the chart. Ad platforms get a neutral event like consult attended, a value where it makes sense, and hashed contact details only where your policies allow it.
No. It's a useful lead signal, but optimizing to it trains Meta and Google to find form fillers. The attended consult is the event that should drive bidding.
Not on their own, since they never touch your website. We match them back by contact details where possible and report them separately so they don't inflate a campaign.
The approach is the same, but the public docs cover Essentials and EnvisionNow. On Pro, we confirm the booking embed and API access inside your account before quoting.
