Klara moved patients from calls to texts, and your ad reports lost them

Patients who find you through a Google or Meta ad now text your practice number, open Klara web chat or tap a scheduling link instead of calling, so your ad reports show fewer new patients than your front desk does. ModMed lists web chat, call-to-text, self-scheduling and a ModMed PM sync for Klara, but no Google Ads, GA4, Tag Manager or Meta connection. We keep the ad click on your website and count the patient once a first visit is kept in your schedule, sent server-side with no health details.

Klara · what breaks

What goes wrong with Klara and your ads

  1. 01

"We get more texts than calls now, and Google says the ads quit working"

Klara's call-to-text turns a phone call into a text thread, so a caller who switches to texting can hang up before your minimum call length. Google counts a website call only past that minimum, so conversions fall while demand holds and Smart Bidding learns to pull back on keywords that still book patients.

  2. 02

"New patients chat on our site, but nobody knows which ad sent them"

Klara web chat drops every conversation into the same Klara inbox as your texts. ModMed documents nothing that carries the ad source or click ID into that thread, so the dermatology campaign that booked Tuesday's new patient gets no credit.

  3. 03

"Our conversion count is bigger than our new-patient list"

Klara texts booking links in recalls, no-show follow-ups, retention campaigns and Front Office Assistant auto-replies. Count those and patients rebooking follow-ups look like ad wins, so bidding chases people you already had.

  4. 04

"Compliance had us rip out the Pixel, and now we're guessing"

Klara threads, intake links and scheduling requests can reveal why someone needs a doctor, so a cautious compliance lead pulls every tag. Then nobody can say whether Google Ads is what fills the ENT schedule, and budget decisions turn into guesses.

Klara · the fix

What changes after we fix it — Klara

  • Google Ads and Meta bid on kept first visits

The conversion becomes a new patient who showed up, read from ModMed PM and matched to the click stored when they landed.

  • Phone, chat and text each credited once

Call tracking sits ahead of call-to-text, chats start on pages that already hold the click, and each channel resolves to one appointment.

  • Health details stay out of ad platforms

Only the click ID, event and value leave your server, plus hashed contact data if your compliance lead approves. Messages and appointment types never do.

Klara · architecture

What Klara actually gives you to work with

Klara exists to get patients off the phone, not to measure ads. Here's what ModMed documents, and what we test.

  1. 1

    Web chat on your website

ModMed says web chat captures online visitors and lands them in the same Klara inbox as texts and call-to-text threads. Whether it sees the page URL or UTMs isn't documented, so we test it.

  2. 2

    Self-scheduling links

Patients request or reschedule through a link pre-filtered by appointment type and provider, from their phone, a Klara thread or web chat. ModMed notes it may be an extra purchase. Whether the link keeps URL parameters is a check.

  3. 3

    Call-to-text and voicemail transcription

Calls become text threads, which is why call tracking must sit in front of your line, not behind it.

  4. 4

ModMed EHR and Practice Management sync

ModMed says intake and text-payment details flow into the patient record. On another PM, we confirm how Klara bookings reach your schedule.

  5. 5

Not documented: Google Ads, GA4, Tag Manager, Meta, webhooks or Zapier

None appear on ModMed's Klara pages. We ask your rep, but plan on building from your schedule.

Klara · diagnose

Where Klara tracking breaks, in the order we check

Phone line first: call-to-text is the change most practices made without telling whoever runs their ads.

  1. 01

Call the number in your Google ad

If Klara turns it into a text before your minimum call length, Google never logs it.

  2. 02

Open web chat from an ad-tagged URL

Then look for the source anywhere in the Klara thread or your site data.

  3. 03

Book through a Klara scheduling link

Check whether it creates a request or a confirmed slot, and whether the UTMs survive the trip.

  4. 04

List every automated text with a booking link

Recalls, no-show follow-ups, retention campaigns and Front Office Assistant auto-replies all qualify.

  5. 05

Compare kept first visits with reported conversions

Patient by patient, over a closed month.

Source of truth

ModMed Practice Management (or your PM) appointment records: new-patient first visits by date, marked kept, cancelled or no-show

  • A test call to a Google ad number, answered by call-to-text, logged once by call tracking.
  • A web chat from an ad-tagged page matched to the appointment it produced.
  • A Klara scheduling request followed to a confirmed appointment in the PM.
  • A recall booking and a reschedule absent from ad conversions.
  • Payload review: nothing sent beyond the fields your compliance lead approved.
  • Kept first visits reconciled per patient against Google Ads and Meta over a closed month.
  • Repeated 30 days later, and after any change to Klara phone routing.

Klara · when not to buy

When a Klara practice doesn't need us

Lots of practices on Klara have nothing here worth paying to fix.

  • If you don't run Google or Meta ads and referring physicians fill your schedule, spend the effort on Klara recalls.
  • If a parent group already sends ModMed data to the ad platforms, the fix is probably theirs.
  • If new patients already wait months, more ad demand just stretches the wait. Trim spend first.
  • If call-to-text answering your Google ad number is the only problem, rerouting that one number may be enough, and we'll say so.

Klara · what we deliver

The event map on Klara

  • Ad click kept on your site

GCLID, Meta click ID and UTMs stored first-party on landing, before Klara chat or a scheduling link opens.

  • Contact started

Web chat opened, a call past your minimum length, or a text from a tracked page. A leading signal, never the bidding goal.

  • Appointment requested

    A new patient's Klara self-scheduling request. Secondary, since a request isn't a slot yet.

  • New-patient appointment booked

Confirmed in ModMed PM or the practice system you use, first visits only.

  • First visit kept

The primary conversion, valued per specialty or visit type as agreed with you.

  • Excluded on purpose

Recalls, reschedules, no-show rebookings, retention campaigns, auto-reply booking links, intake forms and eStatement payments. Never sent as ad conversions.

FAQ

Klara questions, answered

ModMed doesn't list one. Its Klara pages cover web chat, texting, call-to-text, self-scheduling and the ModMed EHR and PM sync, with no Google Ads, GA4, Tag Manager or Meta connection, so the conversion has to come from your appointment records.
