Open Dental Web Sched books new patients your ads never see
Your Web Sched report shows new patients booking online every week, yet Google Ads and Meta credit almost none to your campaigns. Web Sched New Patient runs on patientviewer.com, linked from your site or framed inside it, so your website tags never see the Schedule Appointment click. We catch the booking at the frame, tie it to the ad click, and check it against Open Dental's own appointments.

Open Dental · what breaks
What goes wrong with Open Dental Web Sched
- 01
"The ads say zero bookings, but the schedule is full"
Web Sched lives on patientviewer.com, so a booking made there never reaches your site's Google tag or Meta Pixel. If the only conversion you have is a click on the Book button, bidding learns from people who opened the scheduler and never picked a time, and you keep paying for more of them.
- 02
Recall patients counted as new ones
Recall and ASAP bookings come from your own reminder texts and emails. Mixed into the New Patient conversion, they make your implant or Invisalign campaign look like it's producing patients your recall list sent.
- 03
No idea which campaign filled the chair
Open Dental logs UTM visits to Web Sched links in your database, not in Google Ads. So an emergency-dentist search campaign and a cosmetic Meta campaign look equally good, and budget follows the louder one.
- 04
Every booking treated as the same patient
A cleaning, an emergency exam and a full-arch implant consult all report as one identical conversion, so bidding chases the cheapest new patients while the consults that pay for the campaign get no extra weight.
Open Dental · the fix
What changes once Web Sched reports back — Open Dental
Google and Meta see real new-patient bookings
Each Web Sched New Patient appointment reaches both platforms once, tied to the ad click behind it.
Campaigns judged on kept first visits
Appointments marked complete in Open Dental become the conversion that counts; broken ones never do.
Value set by appointment type
We value each booking by the Web Sched New Pat Appt Type the patient picked, so an implant consult outranks a routine exam and no clinical detail leaves your office.
Open Dental · architecture
What Open Dental Web Sched actually lets you hook into
All of this comes from Open Dental's manual and API pages. Where they're silent, we test on your setup first.
- 1
Hosted link or iframe on patientviewer.com
Web Sched Advanced Setup lists a Scheduling URL for each location, which you can link to or embed in an iframe. Your webmaster places it; Open Dental doesn't manage websites.
- 2
Booked-appointment message to your page
In an embedded frame, Web Sched posts a message whose data is simply true once an appointment is scheduled. No type or value comes with it.
- 3
ReturnURL redirect
ReturnURL on the scheduling link sends the patient to your own page after booking. We confirm how it behaves when a post-booking web form is also on.
- 4
UTM rows in your database
utm_source, utm_medium and utm_campaign on a Web Sched link add a row that Query #1724 reports. Google's click ID isn't mentioned, so we test whether it survives.
- 5
API appointments and subscriptions
The API lists appointments by status, tags Web Sched bookings as Recall, New Patient, Existing Patient or ASAP, and can push database events to an endpoint, processed by Open Dental or its API service on an office workstation.
Open Dental · diagnose
Where Open Dental Web Sched tracking breaks, in diagnostic order
We start at the hop from your website to patientviewer.com, because every later step depends on catching the booking there.
- 01
Is Web Sched linked, framed or both?
A link leaves your site for a page your tags can't follow; a frame keeps the visitor on it.
- 02
Does anything listen for the booked message?
Without a listener on your page, Web Sched's one browser signal goes nowhere.
- 03
Does the ad click ID survive to the booking?
Book from a URL carrying a test click ID and see what your page and Open Dental keep.
- 04
Are Recall and ASAP bookings mixed in?
Reminder links and ad traffic must never share a conversion.
- 05
Do reported bookings match the Web Sched report?
By creation date and appointment type over a closed window, then how many went complete.

Source of truth
Open Dental's Web Sched Appointments report and Appointments Module: New Patient appointments by creation date and confirmation status, with kept visits checked in the Appointments Module
- A test booking from an ad-tagged URL, its booked message accepted only from the Web Sched origin.
- One Google Ads and one Meta conversion for it, sharing an event ID.
- The matching appointment in Open Dental, carrying the confirm status your office set for Web Sched (Created from Web Sched by default).
- A completed first visit sent as the primary conversion at its appointment-type value.
- A broken appointment absent from both platforms.
- Recall and ASAP bookings absent from acquisition conversions.
- The closed-month match repeated after 30 days and after any site or Open Dental update.

Open Dental · when not to buy
When you don't need this on Open Dental
We'll say so on the call.
- If nearly all your new patients phone in and Web Sched is a small extra, call tracking matters more.
- If you don't run paid ads and use Web Sched mainly for recall, the Web Sched Appointments report already covers you.
- If your embed already sends the booked message to Google Ads and the counts match your New Patient report, a quick review is enough.
- If one office books only a handful of online new patients a month, a monthly manual match may do for now.

FAQ
Open Dental questions, answered
Yes, but not by default. Because Web Sched runs on patientviewer.com, the booking is caught from its booked message or a ReturnURL thank-you page and sent on with the click ID.
Open Dental's manual doesn't document either inside Web Sched. It documents UTM parameters, a ReturnURL redirect and a booked message for embedded frames, which is what we build on.
Your Pixel runs on your website; the booking happens on patientviewer.com. Nothing forwards it unless someone builds that bridge.
They count visits by source inside Open Dental through Query #1724, but send nothing to Google Ads or Meta, so bidding still can't learn which clicks booked.
No appointment reasons or clinical details. Conversions carry the click ID, an event ID and a value per appointment type; whether any hashed contact fields go along is decided with you before launch.
Yes. The Open Dental API lists appointments by status, so completed first visits can be the conversion your campaigns optimize for.
