athenahealth self-scheduling: see which ads book new patients
Your "Schedule online" button hands patients to athena's booking app on consumer.scheduling.athena.io, and that's where your tracking ends. Google Ads sees a click, athenaOne gets an appointment, and nothing connects the two. We save the ad click on your own site before the handoff, agree with your athenaOne admin how to join it to the appointment, then send kept new-patient visits back to the campaigns that paid for them, with no visit reasons or health details sent to an ad platform.

athenahealth · what breaks
What goes wrong with athenahealth self-scheduling
- 01
"Google Ads says zero bookings, but the schedule is full"
The booking finishes on athena's domain. Its scheduling code reads location, provider and department IDs from your link; any UTMs or click ID it sees go to athena's own product analytics, not to your Google Ads account. So Smart Bidding never learns which searches filled a slot.
- 02
"We're counting button clicks as new patients"
The usual workaround counts the "Schedule online" click. Plenty of patients open athena's availability and leave without booking, so Google bids up browsers, not new patients.
- 03
"Our existing patients make the ads look great"
Established patients book follow-ups through the portal and the athenaPatient app. If those land in the same report as ad-driven bookings, you're paying for visits you'd have had anyway and can't see it.
- 04
"Someone told us to put the Meta Pixel on the booking page"
athena's booking steps ask for specialty, visit reason and whether the patient is new. A pixel watching that flow can hand those answers to Meta, which is exactly the health data your compliance lead doesn't want leaving athenaOne. And it still wouldn't fix attribution.
athenahealth · the fix
What changes — athenahealth
Google Ads bids on kept visits
New-patient appointments that were actually kept in athenaOne go back to Google Ads by offline import, so bidding learns from patients who showed up, not people who opened the scheduler.
Each service line gets its own answer
Separate tracked links per location, provider or specialty show whether the sleep clinic, sports medicine or OB-GYN campaign is filling the calendar.
Ad platforms get a click, not a diagnosis
The ad platforms receive a click ID, a value and a generic event name. Visit reasons, conditions and provider specialties stay in athenaOne.
athenahealth · architecture
What athenahealth actually lets you hook into
athena's public tag documentation is thin, so this list mixes what we observed on athena's own booking app with the things we confirm with your athenaOne admin before building.
- 1
Hosted booking app on athena's domain
Self-scheduling links open athena's "Online Scheduling" app on consumer.scheduling.athena.io. Its scheduling code reads location, practitioner, department and resource IDs from the link. The analytics library bundled inside it logs UTMs and click IDs for athena, with no path to your ad accounts.
- 2
No slot for your own tags
When we loaded the app it carried athena's own product analytics and a reCAPTCHA check, but no field for a practice's GTM container, GA4 ID or Meta Pixel. We confirm this on your exact link.
- 3
Confirmation stays inside athena
The booking ends on athena's confirmation step with add-to-calendar options. We check whether your setup returns patients to your site, but don't rely on it.
- 4
Portal and athenaPatient app
athena says patients can self-schedule in its athenaPatient app when their provider supports self-scheduling. These are mostly established patients, which is why we separate them.
- 5
Your athenaOne records
Appointments, departments, providers and check-in status live in athenaOne. We confirm with your admin whether a scheduled report, an export or authorized API access is the cleanest feed.
athenahealth · diagnose
Where athenahealth tracking breaks, in diagnostic order
We start at the handoff, because on athena the patient leaves your site before anything worth measuring happens.
- 01
Is the click ID saved before the patient leaves?
Click an ad-tagged URL, then check your own first-party storage before tapping "Schedule online".
- 02
Which conversion is Google Ads bidding on?
If it's the scheduler click or a page view, bidding is learning from browsers.
- 03
Are portal bookings mixed in?
Split one month of athenaOne appointments into new versus established patients and compare.
- 04
Is any pixel touching the booking flow?
Check your site, tag manager and any third-party widgets for Meta or TikTok tags that fire on scheduling links.
- 05
Do kept visits reach Google Ads inside the import window?
Google's scheduled imports look back only 14 or 90 days depending on the data source, so a once-a-month athenaOne export can drop visits.

Source of truth
athenaOne appointment records: new-patient visits by department, provider and appointment type, with check-in status
- Ad-tagged visit with the click ID confirmed in first-party storage.
- Handoff to athena's booking app logged once, with no patient data in the payload.
- Test appointment found in athenaOne and marked as a new patient.
- Kept visits imported to Google Ads and reconciled appointment by appointment over a closed window.
- Portal bookings by established patients confirmed absent from the acquisition conversion.
- Network requests checked: no visit reason, condition or specialty sent to any ad platform.
- Repeated 30 days later and after any change to your athena links.

athenahealth · when not to buy
When you don't need this on athenahealth
Some athena practices should spend the money elsewhere first.
- If you don't run paid search or social, and new patients reach your athena schedule through referrals and insurance directories, there's nothing to attribute.
- If nearly every new patient books by phone, call tracking with offline import matters more than the online scheduler.
- If you're a health system whose analytics team already runs a consented data feed from athenaOne, they likely have this covered.
- If self-scheduling is switched on only for existing patients, ad tracking on it won't tell you anything about acquisition.
athenahealth · what we deliver
The event map on athenahealth self-scheduling
Ad click stored on your site
Click ID and UTMs saved first-party on the landing page, before the patient leaves for athena's booking app.
Schedule online or call
The handoff click and tracked calls to the front desk, logged as secondary signals only, never the main bidding goal.
New-patient appointment booked
Pulled from athenaOne by department and appointment type, then joined to the stored click using the method we confirm with your admin, where consent allows.
Visit kept
The primary conversion, sent to Google Ads once the patient is checked in, valued by service line if you want.
No-show or cancellation
Held back or retracted so a booked-but-missed slot doesn't train bidding.
Excluded on purpose
Portal and athenaPatient bookings by existing patients, reschedules and staff-booked follow-ups stay out of acquisition.
FAQ
athenahealth questions, answered
Not directly, as far as we've seen. athena's scheduling app runs on its own domain with no field for your tag, so the conversion has to come from your athenaOne records through offline import.
athena's booking app reads its own location, provider and department IDs from the link and doesn't pass your click ID into athenaOne. The click has to be stored on your website before the patient leaves, then joined to the visit later.
It can be, if no pixel runs inside the booking flow and only a click ID, a value and a generic event name leave your systems. Your compliance lead should sign off on what's shared; we document every field.
Google lists health as a sensitive interest category, so remarketing lists and Customer Match can't be used for these ads. We focus on measuring which campaigns produce kept visits instead.
Not as ad conversions. Those are mostly established patients scheduling follow-ups, so we keep them out of acquisition reporting.
