healow conversion tracking that counts new patients on your eClinicalWorks schedule, not widget clicks
Google Ads says your healow Book appointment button is converting, but the eClinicalWorks schedule doesn't show the new patients to match. The button hands patients to healow Open Access, and eClinicalWorks publishes no Google Ads, Tag Manager or Meta Pixel hookup for it, so most practices count the click as the appointment. We rebuild the conversion from the eCW schedule: new patients who actually arrive, sent server-side without patient details.

healow · what breaks
What goes wrong when patients book through healow
- 01
"Google Ads counts bookings our schedule never got"
The usual conversion is a click on the Open Access widget, and plenty of people click, glance at the next open slot and leave. Smart Bidding then buys more curious clicks instead of new patients.
- 02
"Half those bookings are our own patients"
Open Access also runs inside the patient portal and the healow app, where established patients book their own follow-ups. Count those and your ads get credit for patients you already had, while real acquisition looks better than it is.
- 03
"A request isn't an appointment"
Open Access can take a request instead of a firm booking. If the request counts and the front desk later declines or moves it, Google learned from a visit that never happened.
- 04
"Compliance made us pull the Pixel and now nobody knows what works"
A Pixel near the Open Access flow or healow CHECK-IN links can pass visit details to Meta, so tracking gets switched off entirely. Then the cardiology or sleep clinic campaign gets judged on gut feel, and budget follows whoever argues loudest.
healow · the fix
What changes after we rebuild it — healow
Bidding trained on patients who walked in
Google Ads and Meta receive arrived first visits from eClinicalWorks, so campaigns chase people who become patients.
New patients split from rebookings
Widget, portal, healow app and phone bookings are separated. Only website new patients count as acquisition.
Clinical details never leave eCW
The ad platform gets an event name, the stored click ID and a flat value. No name, visit reason, provider or specialty goes with it.
healow · architecture
What healow and eClinicalWorks actually give you
healow is built to fill the schedule, not report ad sources. Here's what eClinicalWorks documents and what we verify.
- 1
healow Open Access online scheduling
Patients see open slots, then request or book from your website, the portal or the healow app. eCW lists no Google Ads, GA4, Tag Manager or Pixel option, so we confirm where the widget loads and what it keeps from the URL.
- 2
Website widgets through healow Aware
eCW's marketing service adds booking widgets to practice sites and helps with Google Analytics and Google Business Profile. That covers page views, not which ad produced a kept visit.
- 3
The eClinicalWorks schedule and reports
Open Access offers slots from your providers' eCW schedules, so the eClinicalWorks appointment record is what we read. The report or export your plan allows decides how fresh the feed is.
- 4
eClinicalMessenger and healow CHECK-IN
Reminders update confirmation status in scheduling, and check-in links go out the day before. Useful for no-show reporting, kept away from ad platforms.
- 5
Not documented: webhooks, Zapier, ad integrations
We found none on eClinicalWorks' product pages. We ask your eCW rep about API or FHIR access before ruling anything out.
healow · diagnose
Where healow tracking breaks, in the order we check
Begin with what Google Ads counts today. On an Open Access site the first fault is usually inflation, not loss.
- 01
The current conversion action
Most often a widget click or a thank-you page view nobody can reach, not an appointment.
- 02
Tags near patient flows
Any Pixel or GA4 event on the scheduler, portal login or check-in links gets flagged for removal first.
- 03
Where the click ID drops
One booking from an ad-tagged URL, then the eCW appointment checked for anything tying it back to the visit.
- 04
New versus established
A closed month split by visit type and booking source, so portal rebookings and recall stop inflating results.
- 05
Requests, phone and app bookings
Unconfirmed requests, phone calls and healow app bookings separated, so ads get credit only where they earned it.

Source of truth
Your eClinicalWorks appointment schedule: new-patient visits by date, booking source, visit type and arrived status
- A test booking from an ad-tagged URL, followed from the widget click to the appointment in eCW.
- The server payload inspected field by field: no name, visit reason, provider or specialty.
- Exactly one conversion per arrived first visit in Google Ads and Meta, with a shared event ID.
- A declined request, a no-show and a cancellation confirmed absent or reversed.
- Portal, healow app and recall bookings confirmed absent from the acquisition conversion.
- Matched against platform conversions over a fully closed month, then repeated 30 days later.

healow · when not to buy
When a healow practice doesn't need us
Plenty of eClinicalWorks practices have nothing here worth paying to fix.
- If you don't run Google or Meta ads and new patients come from referrals and insurer directories, attribution isn't your problem.
- If your health system's marketing team already runs a HIPAA tracking platform connected to eClinicalWorks, the fix belongs to them.
- If your pediatric or primary care panel is closed to new patients, more ad demand just fills the phone queue. Pause the ads before measuring them.
- If the only problem is a Pixel sitting on your booking page, delete it today. That doesn't need us.
healow · what we deliver
The event map for an eClinicalWorks practice on healow
Book appointment click on your site
Fired on your own page before Open Access takes over, with the ad click ID saved in a first-party cookie.
Call from an ad visit
Tracked on the number ad traffic sees, so calls your front desk or healow Genie answers aren't lost or counted twice.
New-patient appointment created
Read from the eCW schedule, new-patient visit types only, with requests counted only once staff confirm them.
Confirmed and checked in
Internal signal from eClinicalMessenger and healow CHECK-IN, for no-show reporting. Never sent to ad platforms.
First visit arrived
The primary conversion, sent server-side from the eCW record with a shared event ID so browser and server never double count.
Excluded on purpose
Follow-ups, recall, portal and app rebookings, TeleVisit follow-ups, healow Pay balances and no-shows. Cancellations already sent get pulled back.
FAQ
healow questions, answered
Not that eClinicalWorks documents. healow Aware offers Google Analytics help for your website, but nothing reports which ad led to a kept appointment, so the conversion is built from your eCW schedule.
We advise against it. Those pages carry health information, so we keep browser tags off them and send a minimal server-side event your compliance lead approves field by field.
The click ID is saved on your site when the patient clicks Book appointment, then matched to new-patient appointments from eCW. Whether a dependable match key survives the handoff is the first thing the audit settles.
It's usually counting widget clicks, or bookings by existing patients through the portal and healow app. Once the conversion is an arrived first visit, the number lines up with your schedule.
Usually not with your own lists. Google lists health as a sensitive interest category, and ads promoting it can't use remarketing segments or Customer Match. Google's predefined audiences, such as in-market, are still allowed.
Specialties where one new patient is worth a lot: cardiology, urology, OB-GYN, sleep medicine, vein clinics, pain management and sports medicine. A family practice with a closed panel rarely does.
