Your ads go blind at AdvancedMD's patient portal. See which ones book new patients.
Your "Book online" button sends people to AdvancedMD's patient portal, where a new patient creates a record with ID and insurance before picking a time. Google Ads sees the click on your site and then nothing, because the portal doesn't carry your click ID or UTMs. We hold the click on your own pages and match kept new-patient visits in AdvancedMD back to it, so bidding learns from patients, with nothing clinical sent to an ad platform.

AdvancedMD · what breaks
What goes wrong with AdvancedMD and your ads
- 01
"Google Ads shows almost no bookings, but the front desk is full of new patients"
The booking finishes inside AdvancedMD's portal, which reads its own practice link and login tokens from the URL but not your gclid or UTMs. Smart Bidding never hears about the bariatric consult or knee evaluation it paid for, so it can't spend more on the searches that produce them.
- 02
"We count the Book online click because it's all we have"
Plenty of people reach the portal, see the request for a verified ID and insurance, and leave. If the click is your conversion, Google learns to find browsers while your cost per real new patient climbs.
- 03
"Our follow-ups make the campaign look amazing"
Existing patients log in to the same portal to book post-op checks. Mix those in with ad traffic and you're paying for visits that were coming anyway.
- 04
"We don't know if a booking is real until staff approve it"
Depending on how your practice set up the portal, a booking can be an instant appointment or a request the office confirms later, and new patients may wait for staff approval. Counting the request trains bidding on slots that may never be confirmed.
AdvancedMD · the fix
What changes — AdvancedMD
Google Ads optimizes on kept new-patient visits
Checked-in new-patient visits from AdvancedMD go back to Google Ads by offline import against the stored click, so bidding chases the searches that fill your vein clinic or pain management schedule, not the ones that end at the ID screen.
Each service line gets a straight answer
Separate landing pages and booking links per location, provider or visit type, so kept visits from the weight-loss campaign are reported apart from the orthopedic one.
Nothing clinical leaves AdvancedMD
Ad platforms get a click ID, a value and a plain event name. Visit reasons, intake answers and insurance stay in AdvancedMD.
AdvancedMD · architecture
What AdvancedMD actually lets you hook into
AdvancedMD documents no Google Ads, GA4, Meta Pixel or Zapier connection for its portal. The hooks are your website and the data AdvancedMD lets you pull out.
- 1
Your website, before the hand-off
The only place a tag can run during booking, so the click is stored and the hand-off recorded here.
- 2
Report Center exports
AdvancedMD documents scheduling, cancellation, no-show and demographic reports you can download to Excel, enough for a weekly upload at a smaller practice.
- 3
ODBC read-only access
Documented read-only access to most tables, including appointments, demographics and financial transactions. Confirm your plan includes it.
- 4
Developer API license
For software developers, under an NDA with upfront and monthly costs. Used only if your practice already has a licensed partner.
- 5
Marketplace CRM links
LeadSquared and MDprospects list a sync with AdvancedMD without saying which fields move. If you run one, we check whether it keeps the click ID.
AdvancedMD · diagnose
Where AdvancedMD tracking breaks, in the order we check
Start at the hand-off, because that's where the click disappears on nearly every AdvancedMD practice site.
- 01
Click an ad-tagged link through to the portal
Confirm the gclid is stored on your site, since the portal URL drops it.
- 02
Check what the conversion action really counts
A "Book online" click or portal page view is the first thing to replace.
- 03
Separate online scheduling from appointment requests
Find which your portal uses and whether new patients wait for approval.
- 04
Count existing-patient bookings in the ad numbers
Portal logins for follow-ups should never land in acquisition.
- 05
Look for tags placed where they shouldn't be
A Pixel or analytics tag near intake or the portal is a privacy problem to remove.
- 06
Time the offline upload
Scheduled Google Ads uploads from Sheets, SFTP or HTTP pick up conversions from the past 90 days on each run, so the schedule has to keep up with long consult-to-visit gaps.

The QA evidence — AdvancedMD
Run with a real ad-tagged visit on your live site and a test patient your office books and checks in, never live patient data.
Source of truth
AdvancedMD appointment and patient records: new patients created, appointments confirmed and visits checked in, by date, location and provider
- An ad-tagged click stored first-party on your site at the portal hand-off.
- The test patient's checked-in visit matched to that click and uploaded to Google Ads.
- One conversion in Google Ads, with no duplicate from a click-based action.
- Existing-patient portal bookings confirmed absent from the acquisition conversion.
- A cancellation and a no-show confirmed as never uploaded.
- A closed month of kept new-patient visits reconciled against what Google Ads reports.
- Rechecked 30 days later and after any change to your site's booking links.

AdvancedMD · when not to buy
When you don't need this on AdvancedMD
AdvancedMD practices that fit one of these can skip the build.
- If nearly all new patients come from physician referrals and you barely advertise, referral reports beat ad attribution.
- If every new patient books by phone and the portal is only for existing patients, call tracking on your site is the whole job.
- If spend is small and comparing a monthly Report Center download of new patients with your ad spend answers your question, that Excel file is enough.
- If an agency already uploads kept visits from AdvancedMD and the numbers match your schedule, keep it.
AdvancedMD · what we deliver
The event map on AdvancedMD
Ad click kept on your website
gclid, fbclid and UTMs stored first-party on your landing page before the hand-off to AdvancedMD's portal.
Book online, form or call
The portal hand-off, your site's own forms and tracked front-desk calls, logged as secondary signals only. Where you'll accept it, a short name-and-phone step before the hand-off gives each stored click something to match.
New patient record created
Read from AdvancedMD by date and location, and tied to a stored click through the details captured on your site, where consent allows.
Appointment confirmed
Online-scheduled slots and staff-confirmed requests counted once, after any new-patient approval.
Visit kept
The primary Google Ads conversion, sent once the patient is checked in, optionally valued by visit type.
Excluded on purpose
Existing-patient portal bookings, reschedules, no-shows, cancellations and staff-booked follow-ups.
FAQ
AdvancedMD questions, answered
No. AdvancedMD documents no place for your tags in the portal, and a tag on intake or scheduling pages could pass health details to an ad platform. Tracking belongs on your site and in an offline upload.
The booking happens in AdvancedMD's portal, off your domain, and the portal doesn't keep your click ID. Unless the click is stored on your site and matched later, Google never learns it became a patient.
Not that AdvancedMD documents. It does document Excel report downloads and read-only ODBC access, which is how we send kept visits back to Google Ads.
Kept visits for bidding. A booking can be an unconfirmed request or a no-show, and both teach Google the wrong lesson. Bookings still get tracked as a secondary signal.
Not on Google. Its personalized ads policy lists health as a sensitive category where remarketing lists and Customer Match aren't supported.
Partly. Meta gets a generic lead event from your own site's forms and calls, deduplicated across browser and server, with nothing naming a condition or treatment. We confirm what Meta currently accepts from your clinic category before relying on it.
