Phreesia books the new patient, and Google Ads never finds out
Your Book online button hands patients to Phreesia's self-scheduling, and that's the last thing Google Ads or GA4 sees. Phreesia documents no Google Ads, GA4, Tag Manager or Meta Pixel connection, so your ad account either counts clicks on that button or counts nothing. We rebuild the conversion from the appointments Phreesia writes into your PM/EHR: kept new-patient visits, sent server-side without patient details.

Phreesia · what breaks
What goes wrong when patients book through Phreesia
- 01
"Google Ads says the campaign books nobody"
The patient taps Book online and the appointment is made in Phreesia, where no ad tag is documented. Google never learns which keywords produced a new patient, so budget drifts toward cheap clicks.
- 02
"Our conversion count is way higher than our new patients"
Phreesia texts or emails registration links before visits, and its waitlist fills cancelled slots on its own. Count either and established patients look like ad wins, so Smart Bidding learns from people you already had.
- 03
"Half our new patients book by phone or through MediFind"
Phreesia VoiceAI books over the phone and writes to the chart, and a linked MediFind profile books straight into Phreesia's scheduling. Those bookings reach Google Ads with no click attached, so the campaign that prompted them gets no credit.
- 04
"We were told to rip the Pixel out and now we're flying blind"
A Pixel on a booking or intake page can hand visit details to Meta, so switching tracking off felt like the safe call. Now nobody can say whether Google Ads fills the orthopedic schedule or just its waitlist.
Phreesia · the fix
What changes after the rebuild — Phreesia
Bidding learns from patients who showed up
Kept new-patient visits from your practice system go back to Google Ads and Meta, so bidding chases people who arrive for a first visit.
One honest new-patient number per channel
Web, VoiceAI phone, MediFind and referral bookings are separated, and each appointment counts once.
Patient details stay inside your systems
Ad platforms get an event name, a click ID and a generic value. No name, visit type or provider leaves your servers.
Phreesia · architecture
What Phreesia actually gives you to work with
Phreesia is built for intake, scheduling and payments, not ad measurement. Here's what its own pages document, and the gaps we test.
- 1
Self-scheduling with routing logic
Patients book 24/7, routed by provider, location and visit type. No UTM, GA4, Tag Manager or Pixel support is documented, so we confirm where the scheduler is hosted and what it keeps from the URL.
- 2
Two-way PM/EHR integration
Phreesia says it connects natively to 16+ systems, including athenahealth, eClinicalWorks, Epic, NextGen and ModMed. Your practice system becomes the record we read.
- 3
HL7, FHIR, CCD and CSV
Phreesia lists these standards. Which export your PM/EHR allows decides whether the feed is a nightly file or closer to real time.
- 4
Appointment analytics with referral and source data
Phreesia says its dashboards show request-to-booking gaps and top new-patient drivers. Useful for reconciling counts, but nothing documented passes them to Google Ads or Meta.
- 5
Not on Phreesia's site: webhooks, public API, Zapier, ad integrations
A HIPAA tracking vendor's docs say Phreesia has no native marketing-measurement integration and point to a webhook or post-appointment matching instead. We confirm with your Phreesia rep what your contract includes before choosing a route.
Phreesia · diagnose
Where Phreesia tracking breaks, in the order we check
Start with what's counted today, because a Book online click posing as an appointment inflates every number after it.
- 01
What Google Ads calls a conversion right now
Usually a Book online click or page view, not an appointment.
- 02
Tags on pages patients touch
Any Pixel or GA4 tag near the scheduling or intake link is flagged for removal first.
- 03
Where the click ID dies
One test booking from an ad-tagged URL, then the appointment record checked for anything linking it back.
- 04
New versus established patients
A closed month split by visit category, so recall and follow-ups stop inflating results.
- 05
Phone, MediFind and waitlist bookings
Separated by booking channel, so ads get credit only where they plausibly earned it.

Source of truth
Your PM/EHR appointment schedule as synced from Phreesia: new-patient visits by date, booking channel and arrived status
- A test booking from an ad-tagged URL, followed from the Book online click to the synced appointment.
- The server payload checked field by field: no name, visit type, provider or reason for visit.
- Exactly one conversion per kept first visit in Google Ads and Meta, with a shared event ID.
- A no-show and a cancellation on the synced schedule confirmed absent or reversed.
- Established-patient and waitlist appointments confirmed absent from the acquisition conversion.
- Matched against platform conversions across a fully closed month, then repeated 30 days later.

Phreesia · when not to buy
When a Phreesia practice doesn't need us
Some Phreesia practices have nothing here worth paying to fix.
- If you don't run paid search or social and new patients come from physician referrals and insurer directories, Phreesia's referral and waitlist tools matter more than ad attribution.
- If your health system's marketing team already runs a HIPAA tracking platform tied to the PM/EHR, the fix is theirs.
- If your providers are booked out for months, more ad demand only lengthens the waitlist. Pause the ads before measuring them.
- If the only issue is a Pixel on your booking page, remove it today. You don't need to hire anyone for that.
Phreesia · what we deliver
The event map for a Phreesia practice
Book online click on your website
Fired on your own page before the handoff, with the ad click ID stored first-party.
Call from an ad visit
Tracked on the number ad traffic sees, then checked against VoiceAI calls so phone bookings aren't doubled.
New-patient appointment scheduled
Read from appointments Phreesia syncs to your PM/EHR, new-patient visit categories only.
Registration completed
Internal reporting only. Every scheduled patient gets the link, so it never goes to an ad platform.
First visit kept
The primary conversion, sent server-side once the patient is marked arrived, with a shared event ID.
Excluded on purpose
Follow-ups, recall, waitlist backfills, physician referrals, copays and no-shows. Cancellations are pulled back if already sent.
FAQ
Phreesia questions, answered
Not that Phreesia documents. Its site covers PM/EHR integrations and appointment analytics with referral and source data, but no Google Ads, GA4, Tag Manager or Meta connection, so the ad conversion is built from your appointment records.
We advise against it. Those flows carry health information, so we keep browser tags off them and send a minimal server-side event your compliance lead approves field by field.
The click ID is stored on your site when the patient taps Book online, then matched to new-patient appointments from your PM/EHR. Whether a reliable match key survives the handoff is the first thing the audit settles; where it doesn't, we say so instead of guessing.
It's usually counting Book online clicks, or registrations from patients already on the schedule. Once the conversion is a kept first visit, the number matches your schedule.
They're in the PM/EHR like any appointment, so they're reconciled. They get ad credit only when call tracking on your website number ties the call to an ad visit.
Specialties paying a lot per new patient: orthopedics, dermatology, fertility, OB-GYN, pain management and urgent care. A pediatric practice with a full panel often doesn't need it.
