SalesRabbitCRMs and lead management

Your rep drops a sale pin in SalesRabbit. Your ads never hear about it.

Your roofing, solar or pest control ads fill the form, the lead lands in SalesRabbit, and a rep closes it on a doorstep days later by changing the pin to a sale status. Google Ads and Meta stopped watching at the form, so they keep paying for leads that never sign. We keep the ad click tied to every ad lead in SalesRabbit and send only those sales back, with a value, so bidding learns which campaigns produce signed contracts.

SalesRabbit · what breaks

What goes wrong when ads feed SalesRabbit

  1. 01

Google sees a form fill and nothing after it

The close happens when a rep changes a pin on their phone in a driveway. That status never leaves SalesRabbit, so Smart Bidding keeps optimizing for form fills, including the ones that never sign.

  2. 02

Paid leads vanish into a sea of door knocks

Reps drop a pin at the doors they knock, so ad leads sit among Not Home pins from every street the team knocked, with nothing marking where they came from. Nobody can say how many roofs or alarm systems Google sold this month.

  3. 03

    Canvassing sales credited to ads

SalesRabbit's HighLevel integration can create an opportunity when a lead hits a chosen status, and a Zap can fire on any new or updated lead. If that system reports to Google or Meta, your canvassers' sales get credited to ads.

  4. 04

The click ID has nowhere to live

None of the standard lead fields SalesRabbit passes to Zapier holds an ad click ID, and on Core, custom text fields stop at 30 characters. If the ID gets squeezed into a field like that, or never mapped at all, a later upload has nothing to match and the sale never reaches bidding.

SalesRabbit · the fix

What changes once your ads can see SalesRabbit

  • Every ad lead carries its source onto the map

Reps still see a normal pin, but the record holds a reference to the original click and campaign, so ad leads are counted apart from canvassing.

  • Bidding learns from signed contracts

When a rep sets your sale status on an ad lead, its click ID, contact details and contract value go to Google Ads and Meta the same day, so spend shifts toward the keywords and audiences that close.

  • Canvassing and ads reported separately

Door-knock sales never reach an ad platform, so the cost per sale in Google Ads covers only sales Google started.

SalesRabbit · architecture

What SalesRabbit actually lets you hook into

SalesRabbit lists no Google Ads, GA4 or Meta integration, and it runs as two products, Core and SalesRabbit+, with different setups. Everything below comes from SalesRabbit's own help center and its Zapier app listing.

  1. 1

    Subscription webhooks on Core

Owners and admins register them under Integrations for lead create, update, status update, owner change, delete and form events, most filtered by lead status or form.

  2. 2

    Webhooks on SalesRabbit+ (Pro plan)

The same lead events, with an Event Sub-Type choosing which statuses fire. Setup needs the Integrations permission.

  3. 3

    Zapier

Core's app has New/Updated Lead and Form Submitted triggers plus Create Lead and Update Lead actions. SalesRabbit+ uses Zapier 2.0, built on Webhooks by Zapier, which needs a Zapier Premium subscription.

  4. 4

Public API with API keys (Pro and Enterprise)

REST endpoints for retrieving lead information and updating sales data. We confirm it can create leads and write your custom fields before relying on it.

  5. 5

    Custom fields (Pro plan)

Core text fields cap at 30 characters. SalesRabbit+ short text holds 255 and can be set View Only, so a rep can't overwrite an ad tag.

  6. 6

Connectors push data out, not in

The Google Forms, JotForm and Calendly connectors prefill those tools from a lead a rep already has. They don't bring website leads into SalesRabbit.

SalesRabbit · diagnose

Where SalesRabbit tracking breaks, in diagnostic order

We start where ad leads enter, because a paid lead that lands as an untagged pin can never be matched to its click.

  1. 01

Submit a test ad lead and find its pin

Confirm it arrived with the right owner and status, marked as an ad lead.

  2. 02

Check what survived on the record

Open the lead and look for the click reference and campaign. On Core, confirm nothing was cut off at 30 characters.

  3. 03

List every Zap, webhook and Marketplace integration

Note which fire on every new lead and which forward to HighLevel, HubSpot or a CRM that reports to ad platforms.

  4. 04

    Check rep-booked Calendly appointments

If the Calendly link in your connector is the same event type embedded on your website, confirm rep bookings aren't firing your website booking conversion.

  5. 05

Set the sale status on a test lead

Confirm the payload carries the reference and contract value, and one conversion arrives per platform.

SalesRabbit · prove

The QA evidence — SalesRabbit

Run on test leads a rep moves through statuses in the SalesRabbit mobile app, the way real sales get logged.

Source of truth

SalesRabbit lead records: leads that reached your sale status by date, with lead owner, ad-source tag and contract value

  • One test lead from an ad-tagged URL, with its reference confirmed on the SalesRabbit record.
  • Appointment Set and the sale status each producing exactly one event in Google Ads and Meta.
  • A door-knock lead moved to the same sale status and confirmed absent from every ad platform.
  • A bulk status change with the Lasso tool checked so it can't send a burst of false sales.
  • Ad-sourced sales in SalesRabbit matched one for one against Google Ads and Meta over a closed month.
  • Repeated 30 days later and after any change to your lead statuses or Zaps.

SalesRabbit · when not to buy

When you don't need this on SalesRabbit

Plenty of SalesRabbit accounts are pure canvassing, with no ad tracking to fix.

  • If every lead comes from reps knocking doors and you don't run Google or Meta ads, SalesRabbit's own reports already show who sold what.
  • If ad leads are worked in another CRM and SalesRabbit only handles door-to-door, the sale signal belongs in that CRM.
  • If you get a handful of ad leads a month, have the office tag them in a custom field and compare by hand; a server build won't pay for itself yet.
  • If the only fault is a Zap forwarding every new pin to HighLevel, adding a status filter takes minutes and we'll tell you to do it yourself.

SalesRabbit · what we deliver

The event map on SalesRabbit

  • Ad lead captured

A form fill on your site, with click ID and UTMs stored before the lead goes to SalesRabbit.

  • Lead created in SalesRabbit

Through Zapier's Create Lead action on Core, or the Public API on SalesRabbit+ once we confirm it can create leads with your custom fields, carrying a lead reference and an ad-source field reps can't edit.

  • Appointment Set

Sent as a qualified-lead signal when a rep moves an ad lead to your appointment status.

  • Sale status (Contract Signed, Sold or your own name)

The primary conversion, fired by a Lead Status Updated webhook and valued from a currency field holding the contract amount.

  • Lost to Competitor, Do Not Contact and deleted leads

Kept out of conversions; a sale deleted after reporting is flagged for correction where allowed.

  • Door-knock, referral and imported leads

Never carry the ad-source tag, so they stay out of every ad destination.

FAQ

SalesRabbit questions, answered

No. Its integrations page lists CRMs, roofing, pest control and storm-data tools plus Zapier, but nothing for Google Ads, GA4 or Meta. We connect it through a sale-status webhook and a first-party server container.
