Google Ads keeps counting leads. Buildium shows almost no applications.
Buildium hosts the rental application on its own portal, so the ad tag on your site often fires on the Apply click and never sees who actually applied, passed screening or got added to a lease. We tie each Buildium applicant and lease back to the ad that sent them, so your campaigns learn from filled units instead of curious clicks. Owner and HOA board leads get their own conversion, kept apart from renter traffic.

Buildium · what breaks
What goes wrong with Buildium and your ads
- 01
"Google says we're getting leads, but the units are still empty"
The conversion fires when someone clicks Apply on your site. The application itself happens on Buildium's hosted portal, so Smart Bidding chases clickers who never finish.
- 02
"Half our ad leads fail screening"
Buildium records who was approved and who was rejected after screening, but your ad accounts never hear about it. So bidding keeps buying more applicants like the ones you turn down, and you pay screening time for each.
- 03
"We pay for owner leads and get tenants calling"
Renter clicks and owner inquiries land in the same conversion, so the campaign meant to win management agreements gets trained to find people looking for an apartment.
- 04
"Did the ad fill it, or Zillow?"
Buildium syndicates the same listing to Zillow Rental Network, Apartments.com, Zumper and others, and its applicant record has no lead-source field. Without one, you can't tell which spend actually leased the unit, so budget moves on guesswork.
Buildium · the fix
What changes after we fix it — Buildium
Campaigns bid on signed leases
Approved applicants and leases created in Buildium go back to Google and Meta as the conversions that count, matched to the original click.
Owner growth measured on its own
Rental analysis requests, owner calls and HOA board inquiries become a separate conversion, so owner campaigns stop learning from renters.
Every lease traced to a source
You see which ads, listing sites and campaigns produced leases per property, not just form fills.
Buildium · architecture
What Buildium actually lets you hook into
We found no Google Ads, GA4 or Meta connection in Buildium's Marketplace, so the reliable route runs through its developer tools. Here's what its documentation shows.
- 1
Open API, on the Premium plan
Buildium's developer docs say API access requires a Premium subscription. It exposes applicants, their applications, status and submission time, plus leases.
- 2
Webhooks for applicants and leases
Events include Applicant.Created, ApplicantApplication.Updated and Lease.Created. Buildium retries a failed delivery after 1 minute, 10 minutes and 1 hour, then drops it, and pauses the subscription after 20 straight failures.
- 3
Custom fields on applicants and prospects
Buildium supports custom fields on these records. We check whether one can carry the ad source, since the applicant record has no source field of its own.
- 4
Hosted website and application
The free site and rental application are hosted by Buildium. Its public pages don't document a place for your own tracking code, so we test what your account allows.
- 5
Listing syndication and showings
Listings go to the Zillow Rental Network, Apartments.com, Zumper and more. How those inquiries, and Tenant Turner showing bookings, come back into Buildium is something we confirm on your account.
Buildium · diagnose
Where Buildium tracking breaks, in the order we check
Start with what your ad accounts call a conversion, because on Buildium setups the usual fault is counting intent, not missing leases.
- 01
Find what fires on the Apply button
If an Apply or listing click is a primary conversion in Google Ads or Meta, bidding is optimizing to clicks.
- 02
Follow one test application from an ad-tagged URL
Open the resulting Buildium applicant and see whether anything about the click survived the jump to the portal.
- 03
Check your Buildium plan
Buildium's Open API, and the webhooks with it, require Premium. Without it we plan a regular applicant and lease export with an offline upload, after confirming what your plan can export.
- 04
Split owner and renter conversions
Look for one shared lead action covering both audiences.
- 05
Compare leases signed with conversions reported
Per property, over a closed month, with rejected applicants removed.
Buildium · prove
The QA evidence — Buildium
Every check uses applications submitted through your production Buildium portal, because the API sandbox doesn't send emails or hold your real applicants.
Source of truth
Buildium applicant and lease records: applications submitted, applicant status and leases created, by date, property and unit
- One application from an ad-tagged URL, matched to its Buildium applicant record by email and phone.
- Webhook deliveries logged for applicant, application and lease events, with Buildium's signature header verified.
- Each Added to lease applicant producing a single Google Ads conversion and a single Meta event, with browser and server copies sharing one event ID.
- A rejected applicant confirmed absent from every lease conversion.
- Owner leads arriving in their own conversion action, never in the renter one.
- A month's leases checked unit by unit against both ad accounts once the month is over.
- Rechecked a month on, and again whenever your Buildium plan, website template or application form changes.

Buildium · when not to buy
When you don't need this on Buildium
Some Buildium portfolios have no paid path into the portal at all, or too few leases to justify a build.
- If your units lease from syndicated listings alone and you don't pay for renter ads, there's nothing for us to connect.
- If you only advertise for owners or HOA boards and those leads come by phone or your own site's form, Buildium isn't in the ad path. Track the site and the calls instead.
- If you sign a handful of leases a month and you're not on Premium, a monthly manual match of leases to ad leads may be all you need, and we'll say so.
- If the only problem is an Apply click set as a primary conversion, switching it to secondary is a ten-minute fix you can make yourself.

FAQ
Buildium questions, answered
Buildium's public pages don't document a tracking code field for its hosted website or rental application. We test what your account accepts, and the dependable fix sends lease conversions from Buildium's data instead of relying on tags inside its portal.
Usually because the conversion fires on the Apply click, before the visitor reaches Buildium's portal. Many people click Apply and never submit, so the ad account counts intent while Buildium counts applications.
For the automated version, yes. Buildium's developer docs say Open API access requires a Premium subscription, and that's what lets us read applicant and lease events. On other plans we confirm what you can export and run scheduled offline uploads from it.
Not as ad conversions, because those renters started on the listing site, not your ad. We report them as their own source so they don't get credited to Google or Meta by mistake.
They get separate conversion actions. Owner inquiries come from your site forms and calls, plus All Property Management client leads when your Buildium account is linked, while renter conversions come from Buildium applicants and leases.
Yes. For association managers the valuable conversion is a board inquiry or a signed management contract, so that's what we track, and homeowner portal traffic stays out of your ad data.
