DocuSignCRMs and lead management

The client signed in DocuSign. Your ads still think the phone call was the win.

For a public adjuster, a business broker or a cash home buyer, the money moment is the completed envelope, not the form fill that came days earlier. That signature happens on DocuSign's signing pages, opened from an email your staff sent, so no ad tag on your website ever sees it. We put the ad click on the envelope itself, where the signer can't see it, and use DocuSign Connect to report each completed agreement to Google Ads and Meta as the conversion that counts.

DocuSign · what breaks

What goes wrong when DocuSign closes the deal

  1. 01

"I pay for leads. I can't see which ones signed."

Google Ads and Meta stop counting at the call or form. The listing agreement or claim contract gets signed later in DocuSign, so bidding treats a tire-kicker and a signed client the same and keeps buying more of whichever is cheaper.

  2. 02

The envelope has no idea where the client came from

Your team builds the envelope from a template after the lead has gone cold in the ad platform's eyes. Nothing carries the ad click into it, so you can't say which campaign produced a signed client or which one deserves more budget.

  3. 03

"Sent" gets celebrated like a sale

If your CRM fires a conversion when the agreement goes out, every client who later declines or lets it expire still trains your ads. A business broker who sends a listing agreement to every interested seller is paying Google to find more sellers who never sign.

  4. 04

Deposits and amendments double the numbers

A bridal shop taking a gown deposit through DocuSign Payments, then sending an alteration addendum, can record two 'sales' for one bride. Return on ad spend looks better than the bank account.

DocuSign · the fix

What changes after we fix it — DocuSign

  • Campaigns judged on signed agreements

Google Ads and Meta receive one conversion per client when the first DocuSign envelope is completed by every signer, matched to the click that started the inquiry.

  • A real value on every signature

The deposit collected in the envelope, or a contract value your team enters, rides along with the conversion, so a small tax-protest file and a large public adjusting claim stop looking identical.

  • Dead agreements stop teaching your ads

Declined, voided and expired envelopes are visible in reporting but never sent as wins, so your bids chase the leads who actually sign.

DocuSign · architecture

What DocuSign actually lets you hook into

DocuSign documents no direct connection to Google Ads, GA4 or the Meta Pixel. Everything below comes from DocuSign's developer documentation and Zapier's DocuSign listing.

  1. 1

    DocuSign Connect webhooks

Sends an HTTPS POST to your listener when envelopes are sent, delivered, completed, declined or voided, and when individual recipients finish. This is the trigger for the server-side conversion.

  2. 2

    Envelope custom fields

Per-envelope text or list fields that recipients never see. They can be set in Envelope Settings or through the API, which makes them the right home for a click ID.

  3. 3

    Web Forms and PowerForms

Self-service agreements started from your website. PowerForms are limited to Enterprise accounts and the Web Forms API to certain plans, so we confirm which one your plan includes before designing around it.

  4. 4

    Brand redirect after signing

A brand can send signers to a URL of yours after they finish. Handy for a thank-you page, but we don't rely on it alone, because a browser page can be blocked, reloaded or never reached.

  5. 5

    DocuSign Payments and Zapier

Payments collects money through a connected gateway such as Stripe; refunds happen at the processor, not in DocuSign. Zapier offers an Envelope Completed trigger for lighter setups.

DocuSign · diagnose

Where DocuSign tracking breaks, in the order we check

Start at the lead, because a perfect envelope history is useless if the click never made it that far.

  1. 01

Is the click ID on the lead record?

Check the CRM or intake sheet for a stored GCLID or Meta click ID on recent ad leads, before anyone has built an envelope for them.

  2. 02

    Does it reach the envelope?

Open a recent envelope's custom fields. Hand-built envelopes are where it usually goes missing.

  3. 03

Which event fires the conversion today?

Sent, delivered and completed often get mixed up in CRM automations and Zaps.

  4. 04

Are voids, declines and expirations removed?

DocuSign reports expiry as a void reason, so it needs handling like any cancellation.

  5. 05

Are addenda and corrected envelopes counted again?

Compare signed clients with completed envelopes over one month. More envelopes than clients means double counting.

Source of truth

DocuSign envelope history: completed envelopes by date, with their custom fields and any payment status, cross-checked against your payment gateway for deposits

  • A test envelope from an ad-tagged lead, with the click ID visible in its custom fields and hidden from the signer.
  • One completed envelope producing exactly one conversion in Google Ads and one in Meta Events Manager, sharing an event ID.
  • A voided and a declined envelope producing no conversion.
  • A corrected envelope and an addendum confirmed absent from acquisition reporting.
  • Deposit amounts matched to the gateway record for each paid envelope.
  • A closed month of completed envelopes reconciled client by client against both ad platforms.
  • Rechecked a month on, and again whenever someone publishes a new DocuSign template or changes an existing one.

DocuSign · when not to buy

When you don't need this on DocuSign

Plenty of DocuSign accounts are fine without us, and we'll say so on the call.

  • If your CRM already marks deals won with the click ID attached and sends them to Google Ads, DocuSign is just the paperwork and adds nothing to track.
  • If nearly all your signed clients come from referrals, repeat customers or walk-ins, there's little ad spend to steer with this data.
  • If clients usually sign the same day they first call, a well-built call conversion may be close enough.
  • If most clients still sign paper agreements at your office and DocuSign handles only the odd remote signer, track the deal in your CRM instead.

DocuSign · what we deliver

The event map on DocuSign

  • Inquiry captured

The call or form from the ad, with the Google click ID, Meta's click and browser IDs and the UTMs saved on the lead record. Without this step, nothing after it can be matched.

  • Agreement sent

The envelope-sent event, with the click ID copied into a hidden envelope custom field. Reported as a pipeline signal, never as a sale.

  • Agreement opened

Envelope delivered, meaning every recipient opened it on DocuSign's signing site. Used to spot leads who stall before signing.

  • Agreement completed

The primary conversion, sent when all signers have finished. Only the first completed agreement per client counts.

  • Deposit paid in the envelope

Where DocuSign Payments collects a retainer or deposit, its amount becomes the conversion value. DocuSign doesn't complete the envelope until the payment is complete.

  • Excluded on purpose

Declined, voided and expired envelopes, corrected or resent copies, addenda and renewals for existing clients, and internal test envelopes.

FAQ

DocuSign questions, answered

Not that DocuSign documents. It has no native Google Ads, GA4 or Meta Pixel connection, so completed envelopes reach the ad platforms through DocuSign Connect or Zapier and a server that formats them correctly.
