Estimate Rocket conversion tracking: your ads see the form fill, never the signed proposal
Your ads report a form fill. Days or weeks later the homeowner signs the proposal in the Estimate Rocket customer portal from an emailed link, and Google Ads never hears about it. Estimate Rocket has no built-in Google Ads, GA4 or Meta Pixel connection, so we tie each signed proposal and Stripe payment back to the click that started it, and bidding learns from the jobs you actually won.

Estimate Rocket · what breaks
What goes wrong when you run ads into Estimate Rocket
- 01
Google thinks a form fill is a win
Your ad account only sees the request on your website. A painting lead who never picks up counts the same as a whole-house exterior that signed, so Smart Bidding chases cheap form fills.
- 02
Change orders look like brand-new jobs
Estimate Rocket fires the same proposal webhook when a client signs a change order. Pipe it straight into Meta and an extra gate on a fence you already sold gets reported as a new customer from whatever ad ran that week.
- 03
"Google" in Lead Source means four different things
Sales by Source and Closing Ratio only reflect what someone picked on the project. If your team files Local Services Ads, Maps calls and paid search under one label, you can't tell which spend produced signed work.
- 04
Some wins never leave the app
Estimate Rocket documents that a proposal counted as accepted because the whole project was accepted in the app fires no webhook at all. If your office marks jobs won that way, those signed fences and paint jobs silently drop out of anything built on the status trigger.
Estimate Rocket · the fix
What changes after the fix — Estimate Rocket
Bidding learns from signatures, not inquiries
Each portal signature reaches Google Ads and Meta as a conversion, matched to the original click. We value it at the total the client accepted after optional groups, once we've confirmed your proposal data carries that figure.
Revenue reported once, in the right lane
Stripe payments, change orders and rejections each get their own event, so return on ad spend stops counting upsells on jobs you'd already won.
Reports you can trust inside Estimate Rocket
The source on each project comes from the tracked click, so Sales by Source finally separates paid Google, paid Meta and everything else.
Estimate Rocket · architecture
What Estimate Rocket actually lets you hook into
Everything below comes from Estimate Rocket's help center and its Zapier app. With no native ad-platform connection, the data has to travel through these.
- 1
Web leads arrive through Zapier, not a built-in form
Estimate Rocket's guide sends WordPress form plugins such as WPForms, Gravity Forms or Formidable Forms through Zapier to find the client by email or create one. Email and billing address are required, or the Zap can fail.
- 2
Proposal webhooks
New Proposal and Proposal Status Updated fire on portal signatures, portal rejections and in-app accept or reject. Estimate Rocket says the payload carries over 100 project and client fields; we confirm the accepted total is among them on your account.
- 3
Payment and project triggers
Zapier also exposes New Payment, New Invoice, New Client and New Project, and card payments run through Stripe.
- 4
YouCanBookMe via Zapier
A new booking runs Find or Create Client, then Create Project, so a site-visit booking lands as a client and a project rather than a separate lead.
- 5
Lead Source on the project
Source is a project field that feeds the Sales by Source and Closing Ratio reports. We check whether your Zap can write it automatically.
Estimate Rocket · diagnose
Where Estimate Rocket tracking breaks, in the order we check
Start at the form, because a lead Zapier rejected can't be tracked anywhere downstream.
- 01
Failed Zaps from missing email or billing address
Check the Zap history for errors before blaming the ads.
- 02
Whether the click ID survives the form
Submit from an ad-tagged URL and look for it on the new client or in the lead notes.
- 03
How your team accepts work
Portal signatures and in-app proposal accepts fire the status webhook; accepting the whole project in the app does not.
- 04
Change orders mixed into proposals
Both arrive on the same trigger and need splitting before anything reaches an ad platform.
- 05
Value after optional groups
Confirm the conversion uses the price the client accepted, not the full proposal with every option.

The QA evidence — Estimate Rocket
Run on a real request from your live site and a real portal signature, not on an Estimate Rocket demo project.
Source of truth
Estimate Rocket's Accepted Estimates report and Stripe payment records, by project, client and date
- One test request from an ad-tagged URL, with the click ID confirmed on the matching client record.
- A proposal signed on the portal arriving as exactly one conversion in Google Ads and in Meta Events Manager.
- The conversion value matching the accepted total after optional groups, or a documented fallback if your proposal data doesn't carry it.
- A test change order confirmed absent from acquisition conversions.
- A Stripe payment reported once and tied to the original lead.
- Signed proposals reconciled one by one against each platform over a closed window, then again 30 days later.

Estimate Rocket · when not to buy
When you don't need this on Estimate Rocket
Plenty of painters, fence builders and striping crews on Estimate Rocket are fine without us. Here's when.
- If nearly all your fence, masonry or stucco work comes from referrals and repeat commercial clients, a paid tracking build won't change a single decision.
- If you spend only on Local Services Ads, Google charges per lead and its own dashboard is what you manage, so signature tracking adds little.
- If your office marks nearly every job won by accepting the whole project in the app, which fires no webhook, change that habit first, because there's nothing to build on.
- If your ad budget is small enough that a few signed jobs a quarter decide everything, Closing Ratio by source with careful manual entry may be enough.
Estimate Rocket · what we deliver
The event map on Estimate Rocket
Estimate request submitted
Fired from the form on your own site, with the click ID and email captured before Zapier hands the lead to Estimate Rocket.
Site visit booked
When a YouCanBookMe booking runs Find or Create Client and Create Project, it is logged as the qualified step. Returning clients matched by email aren't counted twice.
Proposal sent
The New Proposal trigger marks a lead your estimator priced. It's used for reporting, not as a bidding goal.
Proposal signed on the portal
The main conversion, sent to Google Ads and Meta with the accepted value where your proposal data provides it. Change orders are excluded here.
Invoice paid through Stripe
The New Payment trigger reports collected revenue against the original click, separate from the signature.
Rejections and change orders
Logged for your own reporting and kept out of acquisition conversions on every platform.

FAQ
Estimate Rocket questions, answered
Not natively. Its integrations page lists QuickBooks, CompanyCam, YouCanBookMe, Google Workspace and Zapier, and its help center documents an API with proposal webhooks, so signed proposals have to reach the ad platforms through those.
Yes, once the signature is linked back to the original click. The Proposal Status Updated webhook fires on a portal signature, and we send that to Google Ads matched to the click ID and email captured on your site.
Because Lead Source is a field someone fills in on the project, and Estimate Rocket's web-lead guide doesn't map UTMs or click IDs. We capture them at your form and confirm whether your Zap can write the source onto the project automatically.
They will if the proposal webhook is passed through as-is, since change orders fire it too. We split them out so only first-time signed proposals count as new customers.
No. Estimate Rocket's own guide uses WordPress form plugins, but any form that can send to Zapier or a webhook works, and the click capture happens on your site either way.
Usually the signature, because it comes sooner and more often. Stripe payments are still reported so you see real revenue per campaign.
