InstaMedPayments and financing

Your ads can't tell a new patient from an old bill paid on InstaMed. We fix that.

Patients pay you on pay.instamed.com, off your website, often well after the ad that brought them in. So Google and Meta either never see the money, or they see every statement payment from patients you've had for years and call it a win. We read approved payments from InstaMed's webhook, match them to new patients who came from an ad, and send only those, with nothing clinical attached.

InstaMed · what breaks

What goes wrong when InstaMed meets your ad accounts

  1. 01

"Google says our ads convert every time someone pays a bill"

A conversion on the receipt or the Pay Bill link fires for long-time patients settling a balance. Smart Bidding then hunts for people who are already your patients, and your cost per new patient looks far better than it is.

  2. 02

"We have no idea which ads bring patients who actually pay"

The ad platforms see the appointment request. The money lands in InstaMed later, after the claim and the statement, so campaigns that book no-shows look the same as campaigns that book paying patients.

  3. 03

"Our analytics loses people at the payment step"

InstaMed's portal lives on pay.instamed.com, or opens from your site as a pop-up or iFrame. Your site's tags aren't on those pages, so GA4 can show a dead end or a pay.instamed.com referral where the payment should be.

  4. 04

"We're scared to send patient data to Meta and Google"

Google treats health as a sensitive category, which rules out Customer Match and your own audience lists, and Meta has data source categories you can review in Events Manager, which health sites need to check. A payment tag carrying a URL, account number or name is a real risk, so many practices send nothing and fly blind.

InstaMed · the fix

What changes after we fix it — InstaMed

  • Conversions mean new patients, not old balances

Established patients' bill payments are filtered out before anything reaches Google Ads or Meta, so bidding learns from the patients your ads brought in.

  • Collected money tied back to the click

A new patient's first approved InstaMed payment is matched on patient ID to the appointment request that carried the click ID, then sent server-side with a value and nothing else.

  • Reversals that undo the conversion

When InstaMed reports a refund, void, return or chargeback, we retract or restate the matching conversion in Google Ads by its transaction ID. For Meta, we confirm what your setup supports before promising the same, and net the refund out of your own reporting.

InstaMed · architecture

What InstaMed actually lets you hook into

Everything below comes from InstaMed's developer documentation. We found no documented Google Ads, GA4 or Meta connection in it, so tracking is built around these pieces.

  1. 1

    Patient portal on pay.instamed.com

Patients pay, set up plans and save cards on InstaMed's domain, standalone or linked from your existing portal. Your site's tags don't load there.

  2. 2

Single sign-on with three display modes

Your site can open InstaMed as an embedded iFrame, a pop-up window or an in-context modal, with returnURL, cancelUrl and confirmUrl options that bring the patient back to a page you control.

  3. 3

    Request fields you can fill

patientID, invoiceNumber and five additionalInfo fields travel with each payment. An internal lead reference goes there, so payments match without sending anything personal to an ad platform.

  4. 4

    Payment webhook

InstaMed posts Approved, Declined, Voided, Refunded, Returned, Chargeback, Settlement and Error updates, plus payment plan Created and Updated, in JSON, XML or NVP. Failed posts are retried every 30 minutes, up to five times.

  5. 5

    Polling as a fallback

If inbound posts are blocked by your firewall, the documented alternative polls the sign-on token status and then pulls the receipt for the transaction.

InstaMed · diagnose

Where InstaMed tracking breaks, in the order we check

We start with over-counting, because on a practice site the usual fault is old bills dressed up as new patients.

  1. 01

Find any conversion tied to the payment step

A Pay Bill click, a receipt page or a confirmUrl landing set up as a conversion in Google Ads, GA4 or Meta.

  2. 02

See how your site opens InstaMed

Plain link, pop-up, embedded iFrame or in-context modal, and whether GA4 records pay.instamed.com as a referral.

  3. 03

Check that patientID is filled and matches your records

Without a shared ID, there's nothing to join a payment to the lead that carried the click.

  4. 04

Confirm which webhook notifications are switched on

Payment and payment plan notifications are separate settings, and both are off by default.

  5. 05

Check your Meta data source category and Google's health rules

Events Manager is where Meta lets you review data source categories, so we check yours there. Google's sensitive-category policy decides which audiences you can still build.

  6. 06

Inspect what reaches ad tags today

Page URLs, form fields or parameters carrying account numbers, names or visit reasons get removed first.

InstaMed · prove

How we prove it on your InstaMed payments

We test against live InstaMed transactions and the new-patient list in your practice management system. A sandbox test card only proves the webhook fires.

Source of truth

InstaMed transaction records (Approved, Refunded, Voided, Returned and Chargeback by TransactionID and date), joined on patientID to new-patient records in your practice management system

  • One appointment request from an ad-tagged URL, with the click ID confirmed on the intake record.
  • That patient's first approved InstaMed payment received by the webhook and matched on patientID.
  • Exactly one conversion per matched payment in Google Ads and Meta, with no clinical or bill detail in the payload.
  • A statement payment from an established patient confirmed absent from every ad platform.
  • A refund or void retracted in Google Ads, and how Meta handles it on your account checked and written down.
  • Rerun a month later, and again whenever statements, text-to-pay or the portal link change.

InstaMed · when not to buy

When you don't need this on InstaMed

Plenty of practices using InstaMed are better off tracking something earlier in the funnel.

  • If your ads only need to fill the schedule and you judge them by attended new-patient visits in your practice management system, track the visit and leave payments alone.
  • If almost all your revenue is insurance reimbursement and patient balances are small copays, the InstaMed amount says little about which ads pay off.
  • If you're a hospital or health system with an analytics and compliance team already sending server-side conversions, you likely need a review, not a rebuild.
  • If the only fault is a conversion set on the Pay Bill link or the confirmUrl page, turn it off in Google Ads or Meta; that takes minutes and you don't need to pay us for it.

InstaMed · what we deliver

The event map for a practice that collects through InstaMed

  • Appointment request or call from an ad

The lead. Google and Meta click IDs are stored on the intake record, which InstaMed never sees.

  • New patient confirmed

Qualified once the front desk marks a new patient with verified insurance or a self-pay quote. Existing patients and wrong numbers are dropped here.

  • Visit attended

Taken from your practice management schedule, so no-shows never count as wins.

  • First approved InstaMed payment

From the webhook's Approved status, matched by patientID. Valued at the amount the patient paid, which is their share, not the insurer's.

  • Payment plan created

Logged as a signal from InstaMed's payment plan Created notification. Value comes only from approved payments as they post, never from the plan total.

  • Excluded and reversed

Statement payments from established patients, Declined and Error statuses are excluded. Refunded, Voided, Returned and Chargeback transactions are retracted in Google Ads and netted out of your reporting.

Written guarantee

95%+ tracking accuracy

Measured against InstaMed transaction records (Approved, Refunded, Voided, Returned and Chargeback by TransactionID and date), joined on patientID to new-patient records in your practice management system. Miss it and we keep working at no cost.

FAQ

InstaMed questions, answered

We found no documented way to add your own tags to pay.instamed.com, and you wouldn't want to. Most people paying there are existing patients settling statements, so the clean signal comes from InstaMed's webhook instead.
