Experity (Clockwise.MD)Booking and scheduling

Your Clockwise.MD queue is full. Google Ads says almost nobody checked in.

Your urgent care runs Google Ads, patients tap Check in online, and the ad account shows a fraction of the reservations on your Clockwise board, or a pile of clicks with no visits behind them. The check-in form lives on clockwisemd.com, not your site, so the tags on your homepage never see a reservation finish. We rebuild the count around patients Experity shows as arrived, so Google and Meta bid toward people who walked in and were seen.

Experity · what breaks

What goes wrong with Clockwise.MD and your ads — Experity

  1. 01

"The ads look dead, but the lobby is busy"

The Clockwise form submits on clockwisemd.com, so the Google tag on your clinic site stops at the button. Smart Bidding can't see which searches filled your lobby, so it spends on whatever it can see, and you're tempted to cut campaigns that are actually working.

  2. 02

    "We count reservations, not patients"

A Clockwise check-in holds a spot in line. If the patient feels better, goes elsewhere or never shows, the ad account still keeps the conversion and keeps paying for more like it.

  3. 03

"We can't tell which clinic the ads fed"

Each location has its own Clockwise page and queue. When every check-in reports as one generic event, you can't move budget toward the clinic with an empty waiting room.

  4. 04

"Every Check in online click looks like a patient"

Counting the button tap as a conversion trains Google on curiosity. Someone who checks the wait time and closes the tab looks exactly like a booked visit, so bidding chases wait-time checkers and your real cost per patient stays hidden.

Experity · the fix

What changes after we fix it — Experity

  • Bidding learns from arrived patients

Visits Experity records as seen go back to Google Ads and Meta as the conversion, by location, matched to the ad click wherever the click ID can be carried through Clockwise.

  • No-shows stop inflating results

Reservations that never arrive are excluded, so cost per patient reflects people who walked through the door.

  • Clean, privacy-safe signals

Only a click identifier, the clinic and a visit value leave your systems. No name, symptom or reason for visit.

Experity · architecture

What Clockwise.MD actually lets you hook into — Experity

Experity's public pages document very little about tracking, so anything not stated by Experity is listed as something we confirm on your account.

  1. 1

    Hosted check-in page on clockwisemd.com

Each location has a Schedule a Visit form on Clockwise's own domain, with name, phone, email, reason for visit and clinic-defined custom fields. Your site's tags don't run there.

  2. 2

No documented Google Analytics, Ads or Pixel setting

We found no Experity documentation for adding GA4, a Google Ads tag or a Meta Pixel to the check-in page. We confirm with your Experity rep whether any exist on your plan.

  3. 3

    Booking from local search

Experity says patients can see real-time availability directly in local search and book instantly. Those check-ins may never touch your website, so we confirm how they are labeled in Clockwise.

  4. 4

Limited API access, through authorized integrations

Experity lists limited API access among its authorized integration options and notes the third party may still charge startup costs. We check whether a visit report or export gives us arrived patients without custom development.

  5. 5

Experity EMR/PM as the record of truth

Arrived and seen visits live in the EMR/PM, which is where the conversion we send to the ad platforms comes from.

Experity · diagnose

Where Clockwise.MD tracking breaks, in the order we check — Experity

On urgent care accounts the usual fault is a conversion set on the wrong step, so we check what's being counted before we check what's missing.

  1. 01

Find what Google Ads calls a conversion

Often a page view or the Check in online click, which overstates patients.

  2. 02

Follow one test check-in from an ad click

See whether the click ID or UTM tags survive the jump to clockwisemd.com at all.

  3. 03

    Compare reservations with arrived visits

Per clinic, per day, from Clockwise and Experity, to size the no-show gap.

  4. 04

    Separate search-booked and partner check-ins

Local search and Zocdoc bookings shouldn't be credited to your paid campaigns.

  5. 05

Audit what data leaves the clinic

Make sure no reason for visit, symptom text, name or contact detail reaches Google or Meta.

Experity · prove

The QA evidence — Experity

Run on a live check-in through your real clinic page and a real arrival in Experity, never a staff-entered test patient.

Source of truth

Experity EMR/PM arrived visits by clinic and date, cross-checked against Clockwise.MD check-in records

  • One check-in from an ad-tagged URL, followed from your site to the Clockwise confirmation.
  • The handoff event firing once per tap, labeled with the right clinic.
  • Arrived visits reaching Google Ads as offline conversions, with no clinical fields in the payload.
  • Meta receiving each arrived visit once, kept separate from the browser handoff event so nothing is double-counted.
  • No-shows and cancelled reservations confirmed absent from the conversion count.
  • A second reconciliation a month on, and again whenever your Clockwise location pages or clinic website change.

Experity · when not to buy

When you don't need this on Clockwise.MD — Experity

Not every urgent care or occupational health clinic needs a rebuild. Here's when we'll tell you so.

  • If you don't run paid ads and patients find you through Google Maps and employer contracts, there's nothing for bidding to learn from.
  • If you're an occupational health clinic booked mostly by employers, track the employer account, not individual check-ins.
  • If spend is small and one clinic gets nearly all of it, comparing monthly visits with spend may be enough.
  • If the only issue is a conversion set on a button click, switching it to a secondary action is a small fix we'll walk you through on the call.

Experity · what we deliver

The event map on Clockwise.MD — Experity

  • Check in online clicked

Fired on your site as the patient leaves for clockwisemd.com, tagged with the clinic location. A signal, never the conversion.

  • Reservation placed

The time slot or queue spot confirmed in Clockwise, matched to the originating click wherever the record allows it.

  • Patient arrived and seen

The primary conversion, taken from Experity EMR/PM visit records for that location and date.

  • Phone calls that book a visit

Tracked through call tracking or your AI phone vendor, de-duplicated against online check-ins.

  • Zocdoc and other partner bookings

Reported as their own source so they don't get credited to Google or Meta.

  • Excluded on purpose

Walk-ins with no ad touch, cancelled or expired reservations, repeat visits for the same episode, and any reason-for-visit field.

FAQ

Experity questions, answered

We found no Experity documentation that allows it, because the form runs on clockwisemd.com rather than your site. That's why we track the handoff on your site and send arrived visits from Experity instead.
