Patients book through DocASAP every day. Google Ads still can't tell which campaigns filled the schedule.
DocASAP, now Optum Patient Access and Engagement, puts a book button on your provider pages, in Google, on Healthgrades and inside health plan portals. The appointment lands in your EHR, and the ad click that started it is left behind. We carry the click into bookings on your own pages and send confirmed appointments to Google Ads and Meta, with no pixel inside the scheduler.

DocASAP · what breaks
What goes wrong with DocASAP and your ads
- 01
"The ads get clicks, but DocASAP shows the bookings"
The appointment is made inside the DocASAP scheduler and written to your EHR. Unless your build hands back a confirmation your tags can read, Google Ads records a provider-page visit and nothing after it, so your cardiology or OB-GYN campaigns look like they book no one.
- 02
Bookings from Google and payer portals get credited to nobody
DocASAP takes bookings in Google, on Healthgrades and in health plan portals. A patient who saw your ad, then booked through the insurer's portal, arrives with no ad source.
- 03
Smart Bidding learns from button clicks, not appointments
When the only signal is a click on Book, Google optimizes toward people who open the scheduler and leave, and budget drifts to keywords that produce browsing instead of visits.
- 04
Nobody wants a Meta Pixel near patient scheduling
Your compliance team is right to block tags inside a booking flow that carries specialty and visit details. Without a safe alternative, Meta optimizes on page views and your sports medicine or primary care campaigns run blind.
DocASAP · the fix
What changes — DocASAP
Confirmed appointments as the conversion
Built from the bookings DocASAP writes to your EHR, matched back to the click that started them, so Google Ads bids toward kept visits.
Ad-driven bookings separated from portal bookings
Bookings that start from an ad click on your provider pages are reported apart from Google, Healthgrades and payer-portal bookings, using whatever source your appointment records carry, so you see what the ads did on their own.
Server-side sending with no health details
Events go out from a first-party container you control, carrying a click ID and hashed contact data your team approves, never the reason for the visit.
DocASAP · architecture
What DocASAP actually lets you hook into
Optum's public pages describe the scheduler's reach well and its tracking options not at all. Everything below is either documented by Optum or listed as something we confirm.
- 1
Scheduling embedded on your provider pages
Optum says scheduling sits on the page with alternate times and providers, plus a book button in search results. We confirm how your build embeds it and where the booking completes.
- 2
Off-site booking channels
Google, Healthgrades, social media and payer and provider portals are named booking channels. These bookings never touch your site, so they come back through the EHR.
- 3
Real-time EHR write-back
Optum says the platform integrates with virtually any EHR with real-time data views, and a case study describes appointments updated in real time. Those records are where we read confirmed and completed visits.
- 4
Agent scheduling
Optum says call center agents can use the exact same scheduling tools, so phone bookings can land in the same records and be tied to a tracked number.
- 5
Practice growth analytics
Optum lists practice growth analytics and digital marketing tools. We confirm whether they show booking source; we found nothing saying they send conversions to Google Ads or Meta.
- 6
APIs mentioned, tag and ad integrations not documented
Optum says its tools offer APIs and configuration options, but we found no public API reference and no published GA4, Tag Manager, Meta Pixel or Google Ads docs. We ask your Optum rep what your contract exposes before relying on any of it.
DocASAP · diagnose
Where DocASAP tracking breaks, in diagnostic order
Start with where the booking finishes, because on most DocASAP builds the ad click is lost the moment the scheduler takes over.
- 01
Does the booking finish on your domain?
If it completes on an Optum-hosted page, your tags never see the confirmation.
- 02
Does the click ID reach the appointment?
Book once from a tagged URL and check whether any source value lands on the record or the export.
- 03
What is counted as a conversion today?
Book-button clicks and scheduler opens are often set as conversions and inflate results.
- 04
Which channel did each booking use?
Google, Healthgrades and payer-portal bookings mixed with website bookings hide what the ads did.
- 05
Are tags firing inside the scheduler?
Any Meta or Google tag inside the booking flow gets removed and replaced server-side.
DocASAP · prove
How we prove DocASAP bookings are counted
Run on a real booking from an ad-tagged URL on your live provider page, then confirmed in your EHR, not in a demo scheduler.
Source of truth
Appointment records in your EHR as written by DocASAP: new-patient bookings and completed visits by date, location, provider and, where recorded, booking channel
- One test booking from an ad-tagged provider page, with the click ID confirmed against the appointment record.
- Exactly one Google Ads conversion per confirmed appointment, with no conversion from button clicks alone.
- No Meta or Google tag firing inside the scheduler, confirmed in the browser.
- Event payloads checked for visit reasons, diagnoses and free-text intake answers: none present.
- Completed visits reconciled per appointment against Google Ads and Meta over a closed window.
- Re-run 30 days on, and again whenever Optum or your web team changes how the scheduler is embedded on provider pages.

DocASAP · when not to buy
When you don't need this on DocASAP
Plenty of practices running DocASAP don't need ad tracking work at all.
- If you don't run paid search or social, your EHR's appointment reports already tell you how many new patients DocASAP books.
- If nearly all your volume comes through health plan portals and referrals, ad attribution won't change your decisions.
- If your schedule is full and you're paying for ads only to protect your brand name, fix capacity before tracking.
- If compliance won't approve server-side sending yet, start with a booking-channel breakdown pulled from your EHR appointment records.

Taken from the confirmed record in your EHR, tagged with its booking channel wherever the record carries one.
Appointment booked by an agent
If your call center schedules in the same DocASAP tools, phone-booked visits are tied to a tracked number instead of being dropped.
Visit completed
The main conversion, sent back once the patient is seen, valued by service line if your compliance team approves.
Cancellations and no-shows
Kept out of the completed-visit conversion. Existing patients rebooking follow-ups are excluded from acquisition.

FAQ
DocASAP questions, answered
Not that we could find documented. Optum lists Google as a booking channel and offers its own growth analytics, but we found no published Google Ads, GA4 or Tag Manager connection, so we build the link from your EHR records.
Yes. Optum describes Patient Access and Engagement as formerly known as DocASAP, so older docs and newer Optum pages describe the same scheduler.
The booking happens inside the scheduler and is written to your EHR, so unless your build exposes a confirmation to your tags, your ads only see the provider-page visit. Without the click ID carried through and the appointment sent back, Google never learns it happened.
We don't recommend it, and we won't install one there. We send booked and completed visits server-side with a click ID and approved hashed contact data, and keep visit reasons out of every event.
They're real appointments, but they don't start on your site, so there's no ad click to match. We report them as their own channel so they don't get credited to a campaign that didn't earn them.
