Conversion tracking for Doctible's Smart Scheduler
Doctible's Smart Scheduler sits on the practice website as a calendar widget and can also be shared to social profiles. A booking is either accepted automatically or held for the office to confirm, and it can then pass into the EHR. Doctible documents no Google Analytics, Meta Pixel or redirect option that we could find, and because this is patient data the safe default is that nothing about the appointment leaves for an ad platform except the bare fact that one happened.

Doctible · what breaks
Where Doctible bookings and ad data stop matching
- 01
Requests counted before the office confirms them
With the approval workflow on, a request is not yet a patient. Counting it rewards ads that bring bookings the front desk cannot use.
- 02
Health information in the wrong place
Default tags can pick up page paths or appointment types that reveal why someone is coming in. That should never reach Meta or Google.
- 03
Social shares bypass the website
Bookings started from a shared scheduler on a social profile may never touch the site where your tags live.
- 04
New and existing patients mixed together
Recall visits from established patients booked through the same widget inflate acquisition numbers.
Doctible · the fix
What the practice gets — Doctible
Confirmed new-patient appointments as the conversion
Requests and kept visits recorded either side of it.
A clean event with nothing clinical in it
No reason for visit, no provider specialty, no notes.
A documented view of what Doctible can and cannot pass on
Written down after testing on your own install.
Doctible · architecture
What Doctible actually lets you do
Doctible's scheduling features are documented; its tracking features are not. The second group are checks.
- 1
A calendar widget on the practice website
Doctible says it connects without back-end installation. Check whether it renders in a frame your page cannot read.
- 2
Shareable to social profiles
Bookings can start outside your website, so plan for conversions that never touch your tags.
- 3
Automatic acceptance or office approval
Bookings can be accepted automatically or routed for staff to approve, which is where the conversion should sit.
- 4
EHR integration
Bookings can pass into the EHR. Check whether the practice system can export confirmed and kept appointments for matching.
- 5
GA4, Meta Pixel and redirect options: unverified
Check whether the widget fires any analytics event or can send patients to your own confirmation page. Assume not until tested.
Doctible · diagnose
Where Doctible tracking breaks, in diagnostic order
The first check is about compliance, not accuracy. Fix that before measuring anything.
- 01
Inspect what your current tags send
Look for appointment types, provider names or page paths that imply a condition. Remove them first.
- 02
Book a test appointment through the widget
Then see whether any ad platform recorded it. Often nothing does.
- 03
Check whether conversions fire before confirmation
If they do, declined requests are in your numbers.
- 04
Count bookings that started from social shares
These bypass the website and need a different route.
- 05
Separate new patients from recalls
Existing patients booking hygiene or follow-ups are not ad results.
Doctible · prove
How it is proven at the practice — Doctible
Every check is run with a test patient through the live Smart Scheduler, and the payloads are inspected, not just counted.
Source of truth
The practice's appointment records, new-patient appointments confirmed and kept by date
- A test booking from an ad click, confirmed by staff, arriving once against the correct campaign.
- The outgoing payload inspected and shown to carry no reason for visit, provider type or notes.
- A request declined by the office confirmed never to convert.
- A kept appointment recorded from the practice system as a plain event.
- An existing patient's recall booking confirmed excluded.
- New-patient appointments matched one to one over a closed month.
- Re-checked 30 days later and after any change to the widget or EHR link.

Doctible · when not to buy
When you don't need this on Doctible
Practices have good reasons not to do this. Some of them:
- If your compliance team does not permit any ad-platform tracking tied to patients, follow that; we will not try to talk you out of it.
- If most new patients phone the office, call tracking without clinical detail will tell you more than online bookings.
- If you run little paid advertising and rely on insurance directories and referrals, counting new patients by source at check-in is enough.
- If your current setup already sends only a bare confirmed-booking event and the numbers reconcile, leave it alone.

FAQ
Doctible questions, answered
Sending health information to Meta or Google is the problem, so we do not. Only the fact of a confirmed appointment and hashed contact details go out, and your compliance lead should approve the design before it is built.
We found no documentation saying it does. Check with Doctible and test with a booking; plan as though it does not.
Confirmed. With office approval on, a request can be declined, and counting it pays for bookings the practice turned away.
Yes, if the practice system can export them, as a plain event with no visit details. Kept visits are the best signal you have.
If the scheduler is shared there, those bookings skip your website. They can still be matched server-side if the contact details line up.
