Your BlueFolder verification list keeps filling up. Google Ads barely sees a lead.
Your ads send a facilities manager to your site, they click through to request service, and the form they fill in lives on your BlueFolder portal address, not your website. So Google Ads can show almost nothing while the Email/Web Requests to be Verified list keeps growing. We carry the ad click onto the BlueFolder work order, count only new verified requests as leads, and report closed jobs back to Google and Meta with their real value.

BlueFolder · what breaks
What goes wrong with BlueFolder and your ads
- 01
"Google shows a handful of leads. The verification list is full."
BlueFolder's web request form sits on yourcompany.bluefolder.com/portal, so the tags on your website never see the submit. Smart Bidding can then pull budget from the commercial HVAC or refrigeration keywords that are actually filling your board.
- 02
"Every PM visit counts as a new lead"
A Zap or callback on Work Order Created also fires for the work orders your recurring jobs generate, and unless it checks the Source it can count tickets contract customers log in the portal too. Your bidding learns from accounts you already have instead of the ones you're paying to win.
- 03
"We can't tell which ads brought in the big accounts"
A kitchen equipment repair or plant maintenance job is closed and invoiced in BlueFolder Pay or QuickBooks days later. Nothing sends that value back, so a one-off service call and a multi-site account look identical to Google and Meta.
- 04
"Most new work comes in by phone and email anyway"
The office types phone calls into BlueFolder by hand, and emailed requests arrive as Source: Email. Neither carries an ad click, so the campaign behind your best commercial work looks dead.
BlueFolder · the fix
What changes after we fix it — BlueFolder
Each web request carries the ad click that sent it
The click ID rides on the link to your BlueFolder form and lands in a custom field on the work order, where your office can see it too.
Only new, verified requests teach your bidding
We filter on BlueFolder's Source and verification status, so recurring jobs, portal tickets and spam submissions never reach Google or Meta.
Closed jobs report back with what they were worth
When a work order closes, its billable total goes server-side to Google Ads offline conversions and the Meta Conversions API, matched to the original click.
BlueFolder · architecture
What BlueFolder actually lets you hook into
BlueFolder's help center documents no Google Ads, GA4, Tag Manager or Meta Pixel setting. The hooks it does document are enough to build tracking properly.
- 1
URL pre-fill on the web request form
Documented: the form at your account's /portal/ address accepts field values in the URL, including custom fields with a CF_ prefix. That's how the click ID gets onto the work order.
- 2
Source and verification on every work order
Documented: work orders record whether they came from email, web request, the customer portal or a recurring job, and email or web requests sit in Needs Verification until your office clears them.
- 3
Callbacks (outbound webhooks)
Documented triggers include Work Order Created and Work Order Status Changed, and a 2026 release added a callback when a web request is verified. BlueFolder lists API and webhooks on its Enterprise plan, so confirm your plan first.
- 4
XML API at app.bluefolder.com/api/2.0
Documented: service requests can be listed by date created or closed, with custom fields, source and billing totals. A scheduled pull works where callbacks aren't available.
- 5
Invoices, payments and accounting sync
BlueFolder Pay takes card and ACH payments on its own invoices, and work orders can transfer to QuickBooks Online or Desktop. We confirm which record is your final sale.
BlueFolder · diagnose
Where BlueFolder tracking breaks, in the order we check
On BlueFolder the commonest fault is a conversion counted from the wrong kind of work order, so we check what's firing before what's missing.
- 01
Find every existing callback, Zap or script
Settings > Integration and its Callback Log show what's already sending and on which trigger.
- 02
Check whether recurring and portal work orders reach the ad platforms
Any Work Order Created feed without a Source filter is suspect.
- 03
Submit a web request from an ad-tagged URL
Open the new work order and see whether a click ID, UTM or anything else survived the jump to the portal.
- 04
Compare verified requests with reported leads
Per work order, over a closed month, with spam and duplicates set aside.
- 05
Trace a closed job to its invoice
Confirm whether the value lives in BlueFolder Pay, the work order's billing tab or QuickBooks, and that only one of them reports.

Source of truth
BlueFolder work order records: Source, verification status, date created and closed, billable total and invoice number for each request
- A web request from an ad-tagged URL, with the click ID visible in its BlueFolder custom field.
- The verified request recorded once in Google Ads and once in Meta.
- A recurring work order and a portal ticket created during the test window, confirmed absent from both platforms.
- A closed work order reported with the same value as its BlueFolder billing total or invoice.
- The callback or API delivery confirmed in BlueFolder's Callback Log or the server container's logs.
- New web and email requests reconciled work order by work order against each platform over a closed month.
- Rechecked after a month and whenever someone edits the BlueFolder custom fields or the web request form.

BlueFolder · when not to buy
When you don't need this on BlueFolder
Plenty of BlueFolder accounts run on contracts and referrals, and that's fine.
- If you don't run paid ads and new work comes from service contracts and word of mouth, BlueFolder's Source reports already tell you enough.
- If almost every new job starts with a phone call, call tracking with click capture matters more than the web request form, and we'll say so.
- If your plan has no API or webhooks, the click handoff plus a monthly upload of closed jobs may be all that's worth building.
- If the only problem is one Zap firing on every work order, adding a Source filter is a small fix you can make yourself.

The event map on BlueFolder
Request Service click on your site
Fires on your own domain before the visitor leaves for the BlueFolder portal, with the click ID appended to the outbound link.
Web request submitted
The lead event, confirmed by a new work order with Source: web request and the click ID filled in.
Request verified by your office
The qualified lead, sent when a dispatcher clears it from Needs Verification. Junk and duplicates stop here.
Work order assigned and scheduled
The booked-job signal, read from the work order's assignment or status change rather than from the original submit.
Work order closed and invoiced
The money conversion, valued from the work order's billable total or the invoice, whichever your office treats as final.
Excluded on purpose
Recurring work orders, portal tickets from contract customers, internal jobs and cancelled requests are never reported as acquisition.

FAQ
BlueFolder questions, answered
Not natively, as far as its help center shows. Tracking is built around BlueFolder's web request form, callbacks and API, with conversions sent to Google and Meta from a server container.
The form lives on your bluefolder.com portal address, so tags on your website don't run when it's submitted. The click has to be handed to the form in the link, which BlueFolder's URL pre-fill supports.
Yes. When a work order closes, its billable total or invoice amount is sent back as an offline conversion matched to the original click, so bidding learns which searches turn into paying accounts.
They will if anything sends conversions on Work Order Created without checking the source. We filter on BlueFolder's Source field so recurring jobs and portal tickets never count.
The click handoff needs BlueFolder's web request form, which lives in the customer portal settings; BlueFolder's pricing page lists the portal on Pro Plus and Enterprise. Automatic sending of verified and closed jobs needs callbacks or the API, which it lists on Enterprise, so we confirm your plan first.
Phone requests are typed into BlueFolder by your office, so they need call tracking that captures the click. We check what you have and connect those jobs to the same conversion feed.
