Your PBHS report counts leads. Which ads actually bring in consults?
PBHS, now part of RevenueWell, builds and hosts your site, can manage your domain and may run your Google and Meta ads too. Its Web Admin reports count paid leads, but a lead there could be a referring office, a current patient with a post-op question, or an implant consult who never shows. We tie the consults your front desk actually sees back to the ad click, in accounts your practice owns.

PBHS · what breaks
What goes wrong with tracking on a PBHS site
- 01
The PBHS report says leads, but which ones booked?
Web Admin's Google Ads and Social Ads reports break out paid leads and clicks, not whether an implant or sedation consult came in. You can't see which campaigns pay for the chair time.
- 02
A general dentist's referral looks like an ad lead
Endodontists, periodontists and oral surgeons take referrals through referral truForms and Collaborator cases. If Google Ads counts a visit to your Referring Doctor page or a click on its referral form button as a lead, bidding chases referring offices the ad never reached.
- 03
Tracking fixes wait on PBHS support
PBHS sites don't support third-party plugins, website changes their team makes are billed hourly, DNS edits need written approval and 24 hours' notice, and the Analytics help article still asks for a retired UA-style ID. Fixes stall while spend keeps going.
- 04
Patient forms live on a different domain
truForm runs on mysecurepractice.com, so your site's tags never see a registration. That's right for health data, but Google and Meta then learn nothing about which new patients came from ads.
PBHS · the fix
What changes for your practice — PBHS
Bidding learns from consults that happened
Attended new-patient consults go back to the original click, so a dental implant or ortho campaign optimizes toward patients who sat in the chair, not toward contact forms.
Referrals and current patients stay out
Referring-office submissions, existing-patient calls and bill payments are excluded, so the count reflects people the ads actually bought.
Numbers you can check, in logins you hold
Every reported conversion lines up with a consult in your practice software, in Google Ads and Meta accounts you control, whoever runs the campaigns.
PBHS · architecture
What a PBHS site actually lets you hook into
PBHS documents its sites through RevenueWell's help center. Anything it doesn't state is listed as something we confirm.
- 1
Source Code button in the page editor
Edits one page's HTML. Whether a site-wide container can go in the head is confirmed with support.
- 2
Google Analytics added by PBHS
PBHS adds your Analytics code on request and sets it up for SEO customers. We confirm a current GA4 ID is installed.
- 3
Contact Forms and form entries
Managed under Settings, with entries on the admin home page. We test whether a submission gives a tag something to fire on.
- 4
RevenueWell request and scheduling forms
When embedded, these iframes post a message to the page on submit, which a Tag Manager listener can catch.
- 5
truForm on mysecurepractice.com
Registrations and referrals flow into practice software such as WinOMS. No ad tags go here.
- 6
DNS managed by RevenueWell
A first-party tracking subdomain needs a record added by their team. No webhook, Zapier or Conversions API connection is documented.
PBHS · diagnose
Where PBHS tracking breaks, in diagnostic order
Ownership comes first: on a PBHS site the ads, the analytics and the domain are often all held by the vendor, and that decides what can be fixed.
- 01
Check who holds the Google Ads, Meta and Analytics logins
If PBHS owns them, bidding history may not leave with you.
- 02
Read the conversion actions in Google Ads
Look for a site-wide form or page-visit goal that counts referral and registration forms.
- 03
Submit a test form from a link carrying a click ID
Confirm the ID survives to the form entry or your records.
- 04
Count tags firing on one RevenueWell request
An iframe listener plus a page-view goal can double count.
- 05
Compare Web Admin paid leads with consults
Per patient, over a closed month, against your practice software.
PBHS · prove
The QA evidence — PBHS
Run on the live site your patients see, using real submissions, never the Web Admin editor view.
Source of truth
PBHS Web Admin form entries and the new-patient consults recorded in your practice management software
- A contact form sent from a link carrying a test click ID, with that ID found on the matching form entry.
- One Google Ads and one Meta conversion per lead, the Pixel and server hits deduplicated on the same event ID.
- No ad tag requests on any mysecurepractice.com truForm page.
- A referral truForm submitted and confirmed absent from every ad platform.
- Attended consults reconciled patient by patient against Google Ads and Meta over a closed month.
- A cancelled consult retracted where the platform supports it.
- Rerun a month later, and again whenever PBHS pushes a template or block-theme change.

PBHS · when not to buy
When you don't need this on PBHS
Plenty of PBHS practices need a phone call to support, not a rebuild.
- If nearly all your new patients come from referring dentists and you spend little on ads, referral-source reporting in your practice software will tell you more.
- If you only buy SEO from PBHS and run no paid campaigns, there's no ad bidding to correct.
- If PBHS runs your ads, the accounts are in your name, and their paid-lead counts already match your consult book, the gap is small.
- If all that's wrong is an outdated Analytics ID, PBHS adds Analytics code on request, so ask their support before paying anyone.
PBHS · what we deliver
The event map on a PBHS site
Ad landing on your PBHS site
Google and Meta click IDs stored first-party when the visitor lands, before they browse to the contact page.
Contact form or appointment request sent
PBHS contact forms, plus RevenueWell request forms if embedded. Logged with the click ID; a leading signal, not the goal.
First-time call from an ad visitor
New callers past a length you choose. Post-op questions, billing calls and spam excluded.
Consult booked
Recorded when your front desk schedules the visit, not when the patient asks.
New-patient consult attended
The primary conversion, sent server-side from your records with a value per service line, like implants, aligners or third molars.
Referrals, registrations and payments excluded
Referral truForms, existing-patient registrations and PayPal bill payments never count; cancellations retracted where the platform allows.
Written guarantee
95%+ tracking accuracy
Measured against PBHS Web Admin form entries and the new-patient consults recorded in your practice management software. Miss it and we keep working at no cost.

FAQ
PBHS questions, answered
There's no documented Tag Manager setting. PBHS gives you a per-page Source Code editor and doesn't support third-party plugins, so we confirm with support where a site-wide container can go.
Yes. RevenueWell's help center covers PBHS websites and support, so RevenueWell's documented form events apply if its request forms are on your site.
They count different things. Google Ads counts whatever conversion actions are set up, the report counts its own lead definition, and neither knows whether the patient came to the consult.
It shouldn't. truForm collects health histories and insurance details on mysecurepractice.com, so we keep ad tags off it and send only a click ID, time and value from your records.
No. For an endodontist or oral surgeon they're valuable, but the ad didn't produce them, so they're excluded from what Google and Meta optimize toward.
The container, conversion actions and history stay in accounts you own. If RevenueWell manages your domain, its transfer checklist covers moving it, and we re-point the tracking subdomain.
