Conversion tracking for clinics booking through Clinicminds

Clinicminds does more than most clinic schedulers: its online scheduler fires a Meta Pixel page view on every screen, a custom LocationSelected event, and a standard Schedule event when the appointment is booked. It also deliberately withholds which service or appointment type was chosen, because Meta may flag those details as health data. The native setup therefore tells you a booking happened and where, but not what it was worth or whether the patient came in, and Google Ads still has to be wired through GTM yourself.

Clinicminds · what breaks

What the native Clinicminds setup leaves open

  1. 01

Schedule fires at booking, not at the visit

No-shows and late cancellations stay counted.

  2. 02

    Every booking worth the same

With service details withheld, a consultation and a treatment course look identical to Meta.

  3. 03

Google Ads left to a manual GTM build

GA4 is native; Google Ads conversions are not.

  4. 04

    Browser-only signals on the scheduler

If it runs on Clinicminds' domain, as its paths suggest, Safari limits and blockers eat into the count.

Clinicminds · the fix

What we add on top — Clinicminds

  • Attended appointments sent as the conversion

    From the clinic's records, server-side.

  • Value without the diagnosis

A non-clinical value band per booking, never the treatment name.

  • Google Ads measured on the same footing as Meta

One event map, deduplicated with the native pixel.

Clinicminds · architecture

What Clinicminds actually lets you do

Confirmed from Clinicminds' own tracking documentation.

  1. 1

Meta Pixel page views on each scheduler screen

Services, appointment types, locations, availability, personal details, verification, payment and booked, plus the reschedule and cancel paths.

  2. 2

    LocationSelected custom event

Useful for clinics with more than one site.

  3. 3

Standard Schedule event with a location parameter

    The native booking conversion.

  4. 4

    Service and appointment-type events withheld

ServiceSelected, AppointmentTypeSelected and their parameters are marked unavailable because Meta may treat them as health data.

  5. 5

GA4 native, Google Ads through GTM

GA4 takes a Measurement ID and records each screen; Google Ads needs your own GTM setup.

Clinicminds · diagnose

Where Clinicminds tracking breaks, in diagnostic order

The native events are a sound base, so the checks look for what sits on top of them.

  1. 01

Confirm Schedule fires once per booking

Compare one day of bookings with Meta's event count before touching anything else.

  2. 02

Check for a second Meta tag in GTM

Clinics often add one while wiring Google Ads and double-fire Meta by accident.

  3. 03

    Measure booked-to-attended by campaign

Consultations from cold traffic no-show at very different rates.

  4. 04

Look for treatment names in URLs, event names or custom parameters

Anything revealing what a patient booked must not reach an ad platform.

  5. 05

Check Google Ads has a conversion of its own

With GA4 native and Ads left to GTM, it is often missing or importing the wrong GA4 event.

Source of truth

Clinicminds' appointment records: attended appointments by date and location

  • A test booking confirmed to fire Schedule once, with the location and no service detail.
  • The server-side attended event confirmed deduplicated against the native Schedule event.
  • Attended visits reconciled per appointment against Meta and Google Ads.
  • A cancellation through the native cancel path confirmed to reverse.
  • Every outbound payload checked for treatment names, appointment types and free-text notes.
  • Reconciled appointment by appointment over a closed window.
  • Re-checked 30 days later and after any change Clinicminds makes to its tracking.

Clinicminds · when not to buy

When you don't need this on Clinicminds

Clinicminds covers more than most, so this list is longer than usual in spirit.

  • If you advertise only on Meta and optimize to bookings, the native Schedule event already does that. Make sure it fires once and leave it alone.
  • If your clinic sees almost no no-shows, the attended layer adds little.
  • If your compliance team will not accept even a non-clinical value leaving the clinic, keep to the native booking event and measure value offline.
  • A single-location clinic that only needs a Google Ads conversion added through GTM is a small job; we will say so.

FAQ

Clinicminds questions, answered

Because it reports bookings, not patients who turned up, and it cannot say what a booking was worth. If neither matters to how you buy ads, the native setup may be enough.
