Conversion tracking for the Salesmate meeting scheduler
Salesmate's scheduler sits inside the CRM where your pipeline is worked, so a booked demo and the deal it should become are a few clicks apart. Default tracking never uses that: it sees a scheduler link opened from an ad and nothing after round-robin hands the meeting to a rep. The conversion worth sending is not the booking but the meeting that turned into an opportunity, reported back from Salesmate's own records.

Salesmate · what breaks
Where Salesmate scheduler bookings go missing
- 01
Scheduler links live in emails and sequences
Most bookings come from outbound. Counting them all hands paid campaigns credit for your SDRs' work.
- 02
Booked is not qualified
A B2B demo slot gets filled by students, competitors and tire-kickers, and the ad platform cannot tell them apart.
- 03
The rep assignment hides the source
Round-robin routes the meeting to whoever is free, and nobody records which campaign sent it.
- 04
Revenue lands weeks later on a deal
The close happens long after any browser tag stopped watching.
Salesmate · the fix
What changes on Salesmate
Qualified meetings as the bidding signal
Defined by a Salesmate stage your team already uses.
Click IDs stored with the contact
If the scheduler accepts them, proven on a real booking before anything depends on it.
Won deals uploaded as offline conversions
At deal value, matched to the original click.
Salesmate · architecture
What Salesmate's scheduler actually lets you do
Salesmate documents the meeting types. We could not confirm its tracking hooks, so most of this list is what to check on your account.
- 1
One-to-one, group, team and round-robin meeting types
Documented. The type should travel with the conversion so a group session and a sales demo are never averaged.
- 2
Calendar-connected availability
Documented. Every booking lands on a rep's calendar, a useful second record when reconciling.
- 3
Check whether the scheduler page accepts a tracking code
If it cannot run GA4 or a pixel, the booking is read from Salesmate data instead of the browser.
- 4
Check whether URL parameters reach the contact record
This decides whether a gclid or fbclid can get into Salesmate at all.
- 5
Check for workflows, webhooks or an API on new meetings and stage changes
The server-side trigger everything else depends on. Without one, a scheduled export is the fallback.
Salesmate · diagnose
Where Salesmate scheduler tracking breaks, in diagnostic order
Start with where bookings come from. On a scheduler built into a CRM, that answers more than any tag audit.
- 01
Split last month's meetings by entry point
If paid traffic is a minority, reported conversions were never going to match the calendar.
- 02
Book one meeting from an ad-tagged URL
Then open the Salesmate contact and look for the click ID. If it is absent, the chain breaks at the scheduler.
- 03
Check whether round-robin meetings are counted per rep or per booking
Treating each assigned calendar event as a conversion duplicates them.
- 04
Compare meetings held with meetings booked, by campaign
Demo no-shows cluster on particular audiences.
- 05
Trace a won deal back to its first meeting
If the deal does not link to the contact who booked, an offline upload has nothing to match.

Source of truth
Salesmate's pipeline: meetings held and deals won by date, with deal value and the contact who booked
- A meeting booked from an ad-tagged URL, with the click ID found on the Salesmate contact or deal.
- A round-robin booking confirmed to produce one conversion, not one per rep calendar.
- Bookings from sequences and email signatures confirmed excluded from paid conversions.
- Meetings held reconciled per record against Google Ads and Meta.
- A won deal uploaded as an offline conversion and shown as matched in the platform.
- Matched per record over a fully closed month, not on totals.
- Re-checked 30 days later and after any change to scheduler settings or pipeline stages.

Salesmate · when not to buy
When you don't need this on Salesmate
Plenty of Salesmate teams are better off without it.
- If ads drive only a handful of meetings a month and reps book the rest through outbound, the volume will not train a bidding algorithm anyway.
- If deals close within a week at similar values, optimizing on held meetings may be close enough without an offline deal loop.
- If deals in Salesmate are not reliably linked to the contact who booked, fix that CRM hygiene first; no tracking survives a pipeline that loses its own references.
- If you only need to know which landing page produced demos, and UTMs can be stored on the contact, that answers it without a server container.

FAQ
Salesmate questions, answered
We have not seen that documented, so we check it on your account rather than promise it. If it cannot, the booking is read from Salesmate and sent server-side instead.
Not in a correct setup. Bookings without an ad click ID or paid UTM are flagged as outbound and kept out of what Google and Meta bid on.
On held, qualified meetings, because won deals are too few and too slow for most accounts to learn from. Won deals still go back as offline conversions with value so reporting reflects revenue.
Only if each rep's calendar event is counted separately. One booking is one conversion whichever rep receives it; the rep is a reporting dimension, not an event.
Usually one thing: agreeing which pipeline stage means qualified and moving deals into it consistently. Everything else reads data you already keep.
