Conversion tracking for Fillout Scheduling

In Fillout, the calendar is a page inside a form: someone answers your questions, may be routed by those answers, picks a time on a Google, Zoom or Teams calendar, and may pay through a Stripe step before they finish. A form submission and a booking are therefore not the same thing, and a form can also hand scheduling to Calendly or Cal.com instead. Fillout documents sending the booked time and event ID to tools like Airtable and Notion; we haven't confirmed booking events for pixels or GA.

The problem

What Fillout tracking gets wrong

Fillout Scheduling-specific issues
Leak #01

Every form submission counted as a booking

People routed away from the calendar still submit the form.

Leak #02

Paid and free sessions on one conversion

The Stripe step changes what a booking is worth.

Leak #03

A scheduler swapped without anyone noticing

Moving from Fillout's own calendar to Calendly or Cal.com changes how tracking works.

Leak #04

Qualification answers discarded

Routing sorted the lead, and the ad account never learns which kind it was.

Architecture

What Fillout Scheduling actually lets you do

Strong at collecting the booking and its context; quiet about pixels.

  1. Step 1

A native Scheduling page inside the form

Connected to Google, Zoom or Teams calendars.

  2. Step 2

    Optional Stripe payment step

So a booking can be paid before the form completes.

  3. Step 3

    Answer-based routing

    Different respondents see different paths.

  4. Step 4

Integrations that pass the booked time and event ID

To tools such as Airtable or Notion; the record we build on.

  5. Step 5

Check for booking events in pixels or GA

Fillout's scheduling docs are silent on this; a test booking with Tag Assistant open settles it.

Diagnostic sequence

Where Fillout tracking breaks, in diagnostic order

Find out first which kind of scheduling the form really uses.

  1. 1

Open the form and identify the scheduler

Fillout's own page, Calendly or Cal.com each need a different approach.

  2. 2

Submit along a route that skips the calendar

    Nothing booking-level should fire.

  3. 3

Book a time and check the response for an event ID

That ID is the deduplication key.

  4. 4

    Pay through the Stripe step

Confirm the value reaches the platforms once.

  5. 5

    Compare submissions, bookings and conversions

Three numbers that should not be equal.

Source-of-truth validation

The QA evidence

Run on the published form, along every route that receives paid traffic, with a real booked time.

Source of truthFillout responses with booked time, event ID and payment status, checked against the connected calendar
  • A booked response showing an event ID that matches the calendar entry.
  • One booking conversion per platform keyed on that event ID.
  • A route that skips scheduling recorded as a lead only.
  • A paid booking carrying the Stripe amount.
  • Routing outcome present as a parameter on the conversion.
  • Responses from a finished period paired with conversions through their event IDs.
  • Rechecked at 30 days and whenever the form is republished.

Straight talk

When you don't need this on Fillout

Plenty of Fillout forms need very little.

  • If the form hands scheduling to Calendly or Cal.com, track the booking in that tool instead of building around Fillout.
  • If you aren't running ads into the form, the Airtable or Notion record already tells you what you need.
  • If every respondent books and none pay, a single lead conversion may be enough.
  • If volume is low, a weekly export matched against ad spend does the job.

Who this is for

Honest about who we’re a fit for.

We don’t take every project. Here’s how to tell if we’re right for you.

Good fit

You’re a great fit if…

  • You run Fillout Scheduling (or are migrating to it)
  • You spend $5K+/month on paid ads (Meta, Google, TikTok, Microsoft, LinkedIn)
  • Your reported ROAS doesn’t match what your bank account is saying
  • You want to own your tracking stack — no monthly SaaS fees forever
  • You have 2–4 days to do this once and never think about it again
Not a fit

Skip us if…

  • You spend less than $500/month on paid ads (browser pixel is fine)
  • You want a SaaS dashboard with monthly fees forever (Triple Whale, Hyros)
  • You need attribution modeling — we fix the data foundation, not multi-touch reports
  • You want a 6-month enterprise consulting engagement (we ship in 4 days)
  • You expect us to manage your ad accounts (we don’t — that’s a different service)

If you’re still unsure, book the call anyway— we’ll tell you straight whether we can help.

Got questions?

The honestanswers.

No buzzwords, no upsell. If we don’t know, we say so.

01Does Fillout send booking events to Meta or GA4?

We haven't confirmed that for scheduling pages. Fillout documents passing the booked time and event ID to integrations, which is what we build on.

02Why not count form submissions?

Because routing can send people past the calendar. A submission without a booked time is a lead, not a meeting.

03Can we include the Stripe payment?

Yes. If the form has a Stripe step, the paid amount becomes the value on the conversion; free bookings stay as leads.

04We use Calendly inside Fillout. Does this apply?

Partly. Fillout supports Calendly and Cal.com as schedulers, and in that case the booking is tracked from the scheduler, not Fillout's page.

05Can routing answers help ad targeting?

They can label the conversion, so campaigns are compared on qualified bookings. No sensitive answers go to ad platforms.
