Conversion tracking for EngageBay appointments
EngageBay sells its appointment page as part of a CRM, so the booking usually matters less than the deal it starts. The page is hosted by EngageBay (a CNAME can put it on your own subdomain), and its booking form cannot be extended: no extra fields, email always required. That rules out the usual hidden-field trick for carrying a click ID, which is why most EngageBay accounts can see demo bookings but not which ad produced them.

EngageBay · what breaks
Where EngageBay bookings lose their source
- 01
A form with no room for a click ID
EngageBay's booking fields are fixed, so the gclid or fbclid has nowhere obvious to ride.
- 02
Demo booked counted as the win
A sales call on the calendar is not revenue; the deal stage in the same CRM is.
- 03
The CNAME page treated as your own site
A subdomain only shares cookies if tags run there and cookie scope is set for it. The custom domain alone does nothing.
- 04
Zoom no-shows invisible to the ad account
A meeting link in the confirmation doesn't mean anyone joined, and cold paid traffic often doesn't.
EngageBay · the fix
What changes — EngageBay
Deals tied back to the original click
Matched on the booker's email, which EngageBay always collects.
Held meetings as the optimization signal
With booked-only sent as a secondary, lower-weight event.
Pipeline value instead of a flat lead count
Taken from the deal record once sales qualifies it.
EngageBay · architecture
What EngageBay actually lets you do
Two things are confirmed in EngageBay's appointment documentation. Everything else has to be checked on your account before anything is built on it.
- 1
Custom domain via CNAME
Confirmed: the appointment page can sit on your own subdomain, with HTTPS if you have SSL.
- 2
A fixed booking form with email required
Confirmed: fields cannot be added or removed, so email is the join key rather than a hidden field.
- 3
Check whether the appointment page accepts tracking scripts
Not documented in the appointment settings. Test it before planning a pixel or GTM there.
- 4
Check whether a booking can redirect to your own thank-you page
Also undocumented. If it can't, the booking event has to come from the CRM side.
- 5
Check what automation fires on a new appointment
A workflow, webhook or Zapier trigger would be the server-side path. Confirm which exists on your plan.
EngageBay · diagnose
Where EngageBay tracking breaks, in diagnostic order
Start from the CRM and work back toward the ad click. On this tool the CRM holds the most complete record you have.
- 01
Count appointments that have no source at all
If it's most of them, the click ID never left your site.
- 02
Check whether the booker's email matches an existing contact
Duplicates split one person's history across two records.
- 03
Compare meetings held with meetings booked, by campaign
Cold demo traffic no-shows at very different rates.
- 04
Separate rep-sent links from ad traffic
Sequence emails produce bookings that ads are getting credit for.
- 05
Trace one won deal back to its first touch
If nothing connects, the offline conversion loop is missing.

Source of truth
EngageBay's deal records — deals created and won by date, with the booker's email and original source
- A booking through the appointment page with its email matched to a stored click ID.
- A held meeting confirmed as a separate event from the booking.
- A deal stage change sent as an offline conversion with its value.
- Rep-booked and sequence-driven meetings confirmed excluded from paid attribution.
- A cancelled meeting confirmed to drop out of the held count.
- Reconciled per deal over a fully closed window, not on totals.
- Re-checked 30 days later, and after any change to the appointment page.

EngageBay · when not to buy
When you don't need this on EngageBay
Honest answers, including the ones that cost us the job.
- If nearly all your meetings come from outbound sequences rather than ads, attributing the appointment page won't change a single spend decision.
- If you book a handful of demos a month, a manual source note on each EngageBay contact may be enough.
- If deals close in a different system, connect that system first; the EngageBay appointment is only the opening move.
- If your ads point at a form on your own site and the calendar comes afterwards, track the form and treat the booking as a CRM step.

FAQ
EngageBay questions, answered
Not through a custom field, because EngageBay's appointment form doesn't allow new fields. The workaround is to store the click ID against the visitor's email on your own site and match when the booking arrives.
It puts the page on your domain name, which helps, but only if your tags actually run there and set cookies at the root domain. Whether EngageBay lets you add scripts to that page is the thing to confirm first.
Deals, where volume allows. Ad platforms need enough conversions to learn, so many B2B accounts use held meetings as the primary signal and import won deals as value.
Possibly, but that's a question about your Zoom data rather than EngageBay. Otherwise the rep records the outcome on the contact or deal.
Only if ads are a meaningful share of how meetings get booked. If they are, the distance between ad-reported leads and real deals is usually where budget is leaking.
