Capsule → Marketing Cloud · Conversion tracking

Connecting Capsule CRM to Salesforce Marketing Cloud

Capsule is a deliberately simple CRM for small businesses, which means fewer places for the identifier to hide and fewer features to work with. Marketing Cloud is a different product from Salesforce CRM with a different identity model, which catches out almost everyone who assumes a contact in one is a contact in the other. The join between them succeeds or fails on one thing: whether the Subscriber Key reaches the Capsule opportunity before the conversion happens, because Marketing Cloud can only match a conversion it can tie back to a click it recognizes.

The problem

Why this join usually fails

Capsule → Marketing Cloud-specific issues
Leak #01

The Subscriber Key never reaches Capsule

The single most common cause. Custom fields exist on parties and opportunities but must be populated deliberately, and Capsule's web-form capture is basic enough that many small businesses enter records by hand.

Leak #02

Manual record entry

At Capsule's typical business size, records are frequently created by a person retyping details from an email. Nothing typed by hand carries a click identifier.

Leak #03

Two identity models treated as one

Marketing Cloud's Subscriber Key and CRM's Contact ID are separate concepts, and Contact Builder's configuration decides whether they relate at all. Getting this wrong does not produce an error — it produces a customer who exists twice, receives everything twice, and appears in reporting as two people.

Leak #04

Nothing reconciles afterwards

An upload that succeeds is not an upload that matched. Check the subscriber record and the journey history, not the API response. A successful insert into an unwatched data extension looks identical to a successful one into the right extension.

Architecture

How Capsule and Marketing Cloud actually connect

Two systems that know nothing about each other. Everything below exists to give them one shared reference.

  1. Step 1

    Capsule CRM holds the truth

Capsule's simplicity is an advantage here — one party record, one opportunity, and a clear won state. There is less to get wrong than in an enterprise CRM.

  2. Step 2

Salesforce Marketing Cloud needs a click to match

The Subscriber Key, the data extension the journey listens to, and the fields its decision splits reference. An event landing in the wrong data extension will be stored correctly and trigger nothing.

  3. Step 3

    The identifier is the bridge

The Subscriber Key, captured at the visit and carried into the Capsule opportunity. Without it there is nothing to join on and no tool fixes that.

  4. Step 4

    The event source decides reliability

Fire on the won milestone with the opportunity value.

  5. Step 5

    Deduplication at the destination

Marketing Cloud does not deduplicate journey entries for you. A record inserted twice can enter a journey twice, and because journeys span email, SMS and push the duplicate reaches the customer more than once.

Diagnose it honestly

Working vs. broken, side by side

Both states look identical from the Marketing Cloud dashboard, which is why this runs for months before anyone notices.

Normal — not a fault

  • The Subscriber Key present on the opportunity

Visible on the record itself in Capsule CRM, not merely captured somewhere on the site.

  • Sent from a Capsule webhook on opportunity milestone change

Server-side, so it does not depend on the customer's browser still being there.

  • Deduplicated correctly

Marketing Cloud does not deduplicate journey entries for you. A record inserted twice can enter a journey twice, and because journeys span email, SMS and push the duplicate reaches the customer more than once.

  • Reconciles with the source

Marketing Cloud's count and Capsule CRM's records agree within a few percent over a closed window.

Actually broken

  • The Subscriber Key missing on most records

Custom fields exist on parties and opportunities but must be populated deliberately, and Capsule's web-form capture is basic enough that many small businesses enter records by hand.

  • Sent from the browser

Anyone who closes the tab, blocks the script or converts without a page load is invisible. At Capsule's typical business size, records are frequently created by a person retyping details from an email. Nothing typed by hand carries a click identifier.

  • Counted twice, or not at all

Marketing Cloud's Subscriber Key and CRM's Contact ID are separate concepts, and Contact Builder's configuration decides whether they relate at all. Getting this wrong does not produce an error — it produces a customer who exists twice, receives everything twice, and appears in reporting as two people.

  • Nobody has reconciled it

The dashboard shows a number and no one has compared it to Capsule CRM. A wrong number that nobody checks is indistinguishable from a right one.

Diagnostic sequence

Diagnostic order

Each step rules out a class of cause. Run them in order and the last one usually has a single explanation standing.

  1. 1

Count opportunitys carrying the Subscriber Key

The ceiling on everything else. Do this before debugging anything downstream.

  2. 2

Follow one real conversion end to end

From the ad click through Capsule and into Marketing Cloud.

  3. 3

Check what share of parties were created via the API rather than manually

Manual creation is the coverage ceiling and it is an operational fix, not a technical one.

  4. 4

Confirm what Subscriber Key is actually set to in this org

Before sending anything. It is a configuration decision made once, often years ago, and every integration built afterwards inherits it.

  5. 5

Read the match rate, not the success message

Check the subscriber record and the journey history, not the API response. A successful insert into an unwatched data extension looks identical to a successful one into the right extension.

Source-of-truth validation

How it gets proven

Against Capsule CRM's own records, not against either platform's dashboard.

Source of truthCapsule opportunities marked won by close date, at their values.
  • The Subscriber Key confirmed present on a live opportunity.
  • A real conversion followed from click through Capsule to Marketing Cloud.
  • Records confirmed on single subscriber records in the correct data extension, with the triggered journey verified in a non-production business unit first.
  • A web-form-originated party confirmed to carry the identifier onto its opportunity.
  • Reconciled over a fully closed window, matched per record rather than on totals.
  • Re-checked 30 days later.

Straight talk

When you don't need this

Worth reading before paying anyone, including us.

  • If Marketing Cloud already reports conversions that reconcile against Capsule CRM's records within a few percent, this join is working and there is nothing to buy.
  • Measure identifier coverage yourself first — pull your last hundred opportunitys and count how many carry the Subscriber Key. Ten minutes, free, and it tells you whether any of this is worth doing.
  • This is a small build. If you have a developer, the API work is an afternoon and we would say so.
  • If you are on Salesforce CRM but sending email through a simpler platform, adding Marketing Cloud brings an identity model to reconcile that you currently do not have to think about.

Who this is for

Honest about who we’re a fit for.

We don’t take every project. Here’s how to tell if we’re right for you.

Good fit

You’re a great fit if…

  • You run Capsule → Marketing Cloud (or are migrating to it)
  • You spend $5K+/month on paid ads (Meta, Google, TikTok, Microsoft, LinkedIn)
  • Your reported ROAS doesn’t match what your bank account is saying
  • You want to own your tracking stack — no monthly SaaS fees forever
  • You have 2–4 days to do this once and never think about it again
Not a fit

Skip us if…

  • You spend less than $500/month on paid ads (browser pixel is fine)
  • You want a SaaS dashboard with monthly fees forever (Triple Whale, Hyros)
  • You need attribution modeling — we fix the data foundation, not multi-touch reports
  • You want a 6-month enterprise consulting engagement (we ship in 4 days)
  • You expect us to manage your ad accounts (we don’t — that’s a different service)

If you’re still unsure, book the call anyway— we’ll tell you straight whether we can help.

What you get

What gets built

Item 01

Identifier capture into Capsule

Add a custom field to the party, populate it from the web form via the API, and carry it onto the opportunity when created.

Item 02

Event source: a Capsule webhook on opportunity milestone change

Fire on the won milestone with the opportunity value.

Item 03

Dispatch to Marketing Cloud

A server-side insert into the data extension the journey is configured against, keyed on Subscriber Key.

Item 04

Reversals where they exist

Opportunities reopened should not double-count when they win again.

Got questions?

The honestanswers.

No buzzwords, no upsell. If we don’t know, we say so.

01Why aren't my Capsule conversions showing in Marketing Cloud?

Almost always because the Subscriber Key never reached the Capsule opportunity. Custom fields exist on parties and opportunities but must be populated deliberately, and Capsule's web-form capture is basic enough that many small businesses enter records by hand. Measure coverage before debugging the dispatch.

02What identifier does Marketing Cloud need?

Marketing Cloud identifies people by Subscriber Key, which you define. It is not the CRM Contact ID unless somebody deliberately made it so, and in many orgs the two are unrelated. Sending an event keyed on the wrong one creates a second subscriber rather than updating the first, which splits the person across two journeys.

03Where should the event come from?

A Capsule webhook on opportunity milestone change. Fire on the won milestone with the opportunity value.

04How do I know it worked?

Check the subscriber record and the journey history, not the API response. A successful insert into an unwatched data extension looks identical to a successful one into the right extension.
